Chicago Waldorf School is seeking an Accounting Manager to join our team beginning as soon as possible. The position is full-time, in person.

CWS operates on a dual leadership model, with an Administrative Director and Faculty Director working together to serve in the traditional Head of School role. The Business Manager is a key member of the administrative team, reporting directly to the Administrative Director, and supervising one additional staff member in the business department. The Business Manager’s primary role is to supervise, manage, and/or execute all aspects of the school’s day-to-day and annual financial management and planning.

Specific responsibilities include:

  • Work with keen attention-to-detail to manage all accounting functions of the school, ensuring accurate and timely data entry to the accounting system, uploading invoices, preparing journal entries, proper General Ledger (GL) coding in alignment with budget, thorough management and reporting of data in accounting system.
  • Diligence to ensure accounts payable are well managed, all vendor invoices are paid in a timely manner, follow-up on credits and past due payment requests, attention to outstanding checks, in-depth vendor account reconciliations.
  • Prompt set up of new vendors in accounting system ensuring W-9 compliance, process online ACH vendor payments as needed, reduce reliance on credit card for transactions.
  • Punctually prepare weekly check runs with accuracy, matching invoices to checks, mailing/hand-delivery and timely maintenance of filing documentation making an effort to convert to electronic filing.
  • Detail oriented management of bank activity (cash position), including prompt GL coding directly in accounting system of deposits, EFT and checks cleared in bank, and scan checks to deposit and make bank runs.
  • Fastidious reconciliation of bank balance to GL by running reports and leveraging Excel Macros, investigate variances and executing resolution with independence.
  • Ownership of all school credit card activity, including reconciliation, problem solving, GL coding and accurately prepare and upload journal entries into accounting system.
  • Responsibility for accounts receivables, specifically tuition and deposits in collaboration with the Enrollment Office and donation tracking in partnership with the Advancement Office.
  • Run reporting of various revenue disbursements, conduct detailed research to make accurate posts to the GL.
  • Lead manager of tuition accounts and billing, including in-depth understanding of Tuition Management system and preparation of monthly Excel reports to reconcile tuition to GL, regular reporting of outstanding balances, convening team meetings about family accounts in need of review and management decision, and management of family contracts and terms.
  • Approachable and smart customer service skills used to oversee student tuition billing and all family communications related to financial obligations, collections efforts and financial holds.
  • Support budget management with account reconciliations and report preparation upon request.
  • Serve as primary on-site Finance Office contact for families and faculty.
  • Other duties as assigned by the Finance Director and Administrative Director.

The ideal candidate will have:

  • A relevant degree.
  • Relevant nonprofit financial management experience with a solid accounting background.
  • Advance proficiency in Excel including use of SUMIF, VLOOK and charts. Macros a plus.
  • Proficiency in Blackbaud Financial Edge and Tuition Management, or proficiency in a similar system and ability to learn quickly.
  • Strong attention to detail, creative and customer-centric problem-solving, and analytical skills.
  • Stellar communications skills, professionalism and customer service to answer financial questions.
  • Passionate about finding efficiencies in business processes, streamlining email communications and process improvement, leveraging current technology.
  • An ability to work together with fellow admin/faculty, board members, and parents.
  • A commitment to becoming a part of the CWS community.

Salary/benefits:

· Salary of $50,000 to $55,000 annually and is commensurate with experience.

· All full-time employees receive a full menu of benefits including medical, dental, and vision.

· All full-time employees (80% and higher) receive full tuition remission for their children attending CWS.

· Admin staff received paid time off for school holidays/vacations, and a reduced summer schedule.
