Responsibilities:
- Complete and evaluate general ledger month-end procedure for payroll, including but not limited to journal entries, account reconciliation, adjustments, and accruals
- Prepare monthly, quarterly billing invoices and reports for grants and foundations. Work with the program officers to ensure reporting and compliance schedules are met.
- Perform the collection aspects for all grants, including the federal drawdown.
- Prepare budgets as needed for the federal, state, local and or foundation grants.
- Maintain the total budget analysis for the organization
- Prepare monthly, quarterly journal entries for all granting activity
- Responsible for overseeing the preparation and processing of bi-weekly payrolls, and all payroll related duties to include: a) Monthly and quarterly provider incentive payments, b) Administration of the electronic timekeeping system; monitor submissions of approved timesheets, ensure valid data transfers to/from payroll service provider, c) Accuracy of approved timesheets -auditing for employee & supervisor approvals, fund & site allocation transfers, etc. d) Employee records; ensure that employee changes are entered correctly and made on a timely basis (on payroll & 401k systems); e) 401(k) electronic uploads to our retirement company for all participating employees
- Act as payroll back up when needed
- Provide 401(k) audit support
- Support Form 5500 preparation and audit
- Assist in the month and year end close processes including preparation of schedules requested for the audit under the direction of CFO/CAO
- Create and maintain the daily cash flow and update the monthly cash flow projection for the finance committee meeting
- Assist in gathering all necessary information associated with audits & report preparations (insurance renewals, PPS recons, Medicare cost reports, financial audits, etc.)
- Act as back up for the accounts payable specialist in their absence
- Oversee contracting and procurement processes
Additional Duties
- Lead, participate or perform other duties and projects as requested
- Participate in organization-wide meetings, committees, and initiatives
Skills and Experience:
- Bachelor’s degree in Finance, Accounting, or Business required, or an associate degree with 10 years of full cycle accounting experience, including supervision and oversight of a finance department
- Ability and the experience in the preparation of balance sheet reconciliations
- Experience in managing the financial aspects of federal, state and foundation grants required.
- Experience working in a health-related business or a non-profit preferred.
Physical Demands:
- Ability to move freely about the clinic/office and carry light loads (up to 25 lbs.)
- Ability to sit for extended periods of time and stand for minimum periods of one hour.
- Ability to interface with computer monitor for extended periods of time.
- Occasional stoop, reach, lift (up to 20 pounds), bend, etc.
