ABOUT THE JOB:
Bates is seeking an Accounts Payable Specialist with high-energy, hands-on approach, with the ability to work independently and as a team, to provide accounting support. This position primary functions revolve around accounts payable and support to backup payroll. It provides financial, administrative, and clerical support by ensuring payments are completed and expenses are controlled by verifying and reconciling invoices in an efficient, timely and accurate manner. Being able to think analytically to collect data, define problems and execute solutions is imperative.
Responsibilities include:
- Learn, understand, and know the employee handbook policies
- Answer phones
- Check and process emails
- Daily, print invoices and match them with packing slips. Enter invoices, with job costing, in Quickbooks. Scan entered invoices and attach to QB
- Daily, enter credit card purchases, coding costs to jobs where applicable
- Review invoices for employee tool accounts and tool replacements
- Keep office tidy: Takeout food trash every day, clean off desktop, lock cabinets every night
- Type notes in Quickbooks (Employee’s Notes tab); keep Weekly Employee Calendar evergreen; post all absences in both files
- Collect timesheets from contract labor each Monday, process, and send to respective agencies
- Weekly, collect, prepare, and enter timesheets for payroll
- Match field personnel timesheets with vehicle trackers
- Calculate hours worked, job cost to appropriate jobs, enter in QB
- Process weekly payroll in QB
- Pay payroll taxes and child support
- Fill out tax resale certificates and W9s for signature and distribution
- Make copies of timesheets with pan tabs listed on them for inventory
- Pay bills with GM approval. Batch invoices, give to GM to sign checks; file bill pay stubs with invoices attached, in order of payment; mail checks
- Manage Home Depot and Exxon card distribution
- Process and file bank deposits
- Maintain organized vendor files, employee files, and insurance and benefits files
- Keep a voided check file
- Monthly, assist with month-end close
- Assist with home office communication
- Help others as needed
- Report directly to Controller and GM

- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
- Must be able to access all areas of the facility to determine purchasing needs.
