The Accounts Payable Specialist is an important member of the Accounting Department that is primarily responsible for accurate and timely coding and recording of invoices, check processing and expense reports. In addition, this position will cross-train in other functional areas within the accounting department.


Responsibilities:

  • Perform daily accounts payable operations
  • Assist with monthly reporting and income statements
  • Audit invoice and expense reports for compliance with firm policies and ensure proper coding
  • Oversee team workflow to ensure all accounts payable transactions are processed accurately and timely
  • Set-up vendor records and ensure W-9 and W-8 form compliance
  • Process annual 1099’s
  • Research and resolve invoice discrepancies and issues
  • Create and edit Excel spreadsheets to upload information into accounting system, Aderant
  • Initiate wire payments while following strict security protocol
  • Correspond with vendors and respond to inquiries
  • Assist in the monthly close process
  • Adhere to a consistent payment schedule
  • Process accurate and timely year-end reporting
  • Assist external auditors with documentation requests
  • Provide ad hoc reporting as needed or requested
  • Research and manage stale dated checks
  • Review/reconcile monthly expense activity
  • Respond to accounting team members and other colleagues in a timely fashion
  • Assist accounts payable team members as needed
  • Other duties as assigned

Qualifications:

  • College degree preferred, or any combination of training, experience, and education that demonstrates the ability to perform the responsibilities of the position
  • 10 or more years of Accounts Payable experience in a professional services environment; law firm experience is preferred
  • Strong understanding of the General Ledger
  • Experience with Chrome River and Aderant is highly preferred
  • Intermediate to advanced level Excel skills using data filtering, tables, and VLOOKUP
  • Decision-making, problem-solving, and analytical skills
  • Self-driven with a strong work ethic
  • High degree of professionalism
  • Ability to deal sensitively with confidential information
  • Strong interpersonal and communication skills
  • Must be organized, efficient, accurate and accountable
  • Ability to multitask in a high volume, fast-paced legal environment
