Administration & Operations Manager - Utah Offices Job at Michael Best
The Position
Michael Best & Friedrich LLP is seeking an organized, adaptable, positive, and outgoing Office Manager / Office Administrator ("OA") for our Salt Lake City and Cottonwood Heights, UT offices.
This person will work closely with the Office Managing Partner to execute the vision for the culture and ensure that the office operates efficiently and smoothly by overseeing and supervising reception, office services, facility maintenance, legal assistants, and administrative assistants. In addition, the person will oversee a wide variety of critical daily tasks and manage general administrative support for all personnel and attorneys in the office to ensure an exceptional level and service as well as foster a collaborative office culture. The goal of the office operations team is to provide exceptional service to our internal and external clients, foster and grow a friendly and productive working culture, and build collaborative relationships with the timekeepers and staff in the office.
What You'll Be Doing
- Assure the BEST client experience and provide exceptional service for all incoming clients/visitors and onsite staff/attorneys.
- Execute the vision for office culture and serve as the cultural and brand ambassador in partnership with the Office Managing Partner.
- Assure general office organization and cleanliness through effective management of the operations team members and building/facility maintenance personnel.
- Manage the team that handles all incoming calls, meeting spaces, and reservations system for visitor office spaces and conference rooms.
- Act as the primary liaison on all issues of support and administrative functions for attorneys in the office including arranging when necessary for work overflow support within the office and assist with support needed from other office locations.
- Work with the Office Managing Partner on all matters related to the essential operations and functions of the office.
- Assist the Office Managing Partner with planning and orchestrating office activities, events, and initiatives.
- Oversee and manage all building-related maintenance calls and service requests.
- Assure the operations team conducts an accurate inventory of office supplies including order management and purchasing.
- Assist with various Human Resources functions primarily related to new hire onboarding which can include conducting office tours and introductions, ensuring office/desk set-up, completing I-9 verification, and coordinating new hire training.
- Deliver an exceptional level of service while acting as a primary point of contact for all office employees and visitors as well as connect them to appropriate internal departments and resources as appropriate.
- All other tasks and duties as assigned.
Job Requirements:
Knowledge Base & Education:
- Ability to work a minimum of 40 hours per week during normal weekday business hours. Due to the nature of the position, some communications or tasks may be required before or after normal business hours on occasion for client events or office maintenance items.
- A Bachelor's or Associate’s degree in Business Administration, Business Management, Operations, Human Resources (or related field) is strongly preferred. Candidates with an equivalent combination of education and relevant experience will be considered.
- At least 3 or more years of experience in an administrative capacity with office management and personnel supervision is required preferably with related experience in a professional services or law firm environment preferred.
- Strong computing skills including proficiency in Microsoft Outlook, Word, and Excel.
