Adoption Services, Inc. is a private, non-profit child placing agency licensed by the State of Wisconsin with offices in Appleton and Glendale. The heart of our adoption programs at Adoption Services is our concern for our birthparents wrestling with the difficulties of an untimely pregnancy, and our hopeful adoptive parents struggling with the heartache of trying to build a family. Our first priority is to our birth parents to assist them to reach a thoroughly considered decision for themselves and their children. We are a small non-profit adoption agency that has been have been operating in Wisconsin for 30+ years. Our Team is seasoned, experienced and knowledgeable in the adoption world.
Position Description
As the Administrative Assistant you’ll manage the administrative aspects of Our Glendale Office. You’ll keep us on-track in making our day-to-day operations run smoothly.
Your work is an important part of our organization. Adoption Services, Inc staff are passionate about our mission. You’ll help maintain a positive culture and be the first point of contact for our prospective adoptive parents and Birth Parents.
Responsibilities:
- Provide administrative support to the Director, Associate Director, and Social Workers.
- Respond to all Inquiries in a timely manner.
- Send out Initial client packets and be responsible for continued communication with clients.
- Conduct background checks on all prospective clients through federal, state and local agencies.
- Keep all forms up to date and accurate.
- Develop and maintain filing system electronically and paperwork connected to our adoptions and home studies.
- Maintain adequate office supplies and place orders as needed.
- Prepare Court Documents for Termination of Parental Rights and Finalization hearings.
- Excellent written and verbal skills required.
- Agreeable to sign a confidentiality statement.
Physical Requirements
- Prolonged periods sitting at a desk and working on a computer.

Qualifications:
The successful candidate for the position of Administrative Assistant will have the following qualifications:
- 1-3 years of administrative experience. Prior nonprofit work experience, a plus.
- Exceptional skills in the areas of organization, attention to detail, time management, ability to manage multiple tasks, define and set priorities and problem solving.
- Excellent customer service abilities.
- Excellent reading, writing and grammar skills. Both written and verbal.
- Proficiency in Microsoft Word, Excel and Outlook, working with databases and internet research.
- Prioritization skills and ability to work according to the organization’s needs.
- Demonstrates awareness of and respect for the needs and concerns of individuals from diverse cultures, backgrounds, and orientations.
Compensation:
This is a part-time position.
No health benefits are offered with this position.
We offer a flexible work schedule.
The salary is hourly, $17-$20 an hour based on experience.
