SUMMARY
The Receptionist/Program Assistant is responsible for administrative duties and manages daily activities for a Deputy Assistant Secretary (DAS) in the office for the Bureau of East Asian and Pacific Affairs (EAP). Directly supports the EAP Front Office and principal staff in the bureau.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Serve as the Special Assistant to the Director and Deputy Director of EAP. In that capacity, serves as EAP’s principal point of-contact/liaison with the bureau's Office of the Assistant Secretary.
- Manage a seamless and timely flow of information, policy guidance and advice between the EAP front office and the appropriate supervisors and members of the EAP Staff. Screens incoming cables for relevancy and distributes to relevant parties.
- Responsible for receiving and responding to internal and external inquiries, and flags and designates critical information to appropriate country desk. Collects, reviews, and approves outgoing correspondence for neatness, accuracy, and compliance and manages related office chronological file.
- Choose appropriate clearance(s) and delegates timely response by the responsible members of the EAP staff on formally tasked action items required by the Office of the Assistant Secretary.
- Manages the continuous and smooth flow of information, such as cables, correspondence, briefing papers, and memoranda; screens for relevant information for the 1CA Director.
- Work with other EAP Special Assistants to manage internal tasks, deadlines, and deliverables for Deputy Assistant Secretaries and office Directors.
- Independently follows up with internal and external stakeholders to ensure necessary action is initiated, and subsequently works to assure that such action is completed as quickly as possible, as applicable, and appropriate.
- Create and manages standard operating procedures related to office administration, including the development of programs, goals, objectives, policies, and processes for EAP. Delegates tasks to relevant parties to meet established goals.
- Develop and creates outreach and engagement content to support Bureau operations and programmatic goals.
- Establish and maintains official files on specific subject matters. Develops databases of Bureau files.
- Manage all the calendars for office management by arranging and scheduling appointments, handling all meeting requests and providing calendar information to high-level management daily.
- Serves as a T&A administrator; prepares and manages T&A report; manages and monitors office leave schedule.
- Provide administrative support, including managing travel arrangements, office logistics, supply inventory, and other special administrative support as required by the Directorate. Responsible for coordinating badge access levels for Bureau staff and visitors. Escorts personnel as required, including high-profile and visibility senior agency and department officials.
- Submits GSD Tracker/Ariba requests. Manages evaluation process via GEMS. Verifies Rhythmyx updates.
- Coordinate travel and processes vouchers for EAP employees and contractors in E2. Performs accuracy and compliance checks on all E2 actions.
- Coordinate with IT personnel to setup conferences for both external and internal audiences. Responsible for ensuring IT personnel provide timely and effective support.
- Prepare meeting briefs to managers indicating appointment purpose and providing any relevant background data. Takes minutes and notes during meetings and uses discretion to determine critical and time sensitive information.
- Serve as the SharePoint site expert and works to improve accessibility, archives, and functionality; provides regular training and briefings on the use of SharePoint to manage paper flow to staff within and outside the Bureau.
- Support other developmental, leadership and training activities and assignments as applicable.
- Uses a high degree of independent judgment in researching regulations, and in determining the relationship between guidelines and organizational efficiency and program effectiveness; uses his or her judgment in choosing, interpreting, or adapting available guidelines to specific issues or subjects.
EDUCATION AND/OR EXPERIENCE
- High school diploma or equivalent; associate’s or bachelor’s degree preferred.
- 6 to 9 years of general office experience or an equivalent combination of education and general office experience.
KNOWLEDGE, SKILLS AND ABILITIES
- Ability to manage multiple tasks, coordinate activities and work well in a multi-cultural team environment.
- Strong organizational, communication, and interpersonal skills.
- Ability to work independently to assess priorities and manage daily coordination of details.
- Experience and proficiency in Department of State software and systems preferred but not required.
- Basic computer skills (Microsoft Office suite).
- Active Secret clearance required. Top-Secret clearance preferred.
- Ability to successfully pass a federal background check and a drug screen
- Cherokee Federal employees are included as covered employees in U.S. Presidential Executive Order 14042, which mandates Covid vaccines for federal contractors. Executive Order 14042 is currently blocked from enforcement pending court proceedings. Therefore, Cherokee Federal is halting the application of the mandate; however, if the injunction is lifted, Cherokee Federal will restore administration of the vaccine requirement.
