We are looking for an experienced and talented Administrative Assistant to join the Gafcon Labor Compliance team.
SUMMARY: The Administrative Assistant is responsible for providing overall support to the Labor Compliance Department, travel to sites throughout the County to conduct site visits and job walks to perform labor standards interviews, investigate complaints and issues, report activities on a monthly basis, as well as work with the Labor Compliance Analyst/Project Manager/ Officer certifying payroll and payroll related documents.
ESSENTIAL ACCOUNTABILITIES: The following are intended to be examples of the accountabilities for which the person in this position is responsible. - Date stamp, log, file and track all incoming documents. Advise analysts as to what has been received and their location.
- Assist Labor Compliance Analyst/Project Manager/Officer with review and certification of Certified Payroll and related documents.
- Maintain project files and project binders.
- Handle all mailing and shipping duties.
- Ensure SharePoint databases are up to date. Create and update SharePoint project sites and workspaces.
- Visiting projects throughout the County of San Diego and conducting site visits.
- Walking job sites and talking to workers regarding prevailing wage and apprenticeship laws and regulations.
- Performing Labor Standards Interviews at project sites.
- Conduct investigations when worker complaints are received.
- Maintains files of working documents, including project, Interview, and resolution paperwork.
- Partners with other team members in order to ensure the timely delivery of a high-quality product and service.
SECONDARY ACCOUNTABILITIES:
- Complete special projects as directed by the Labor Compliance Analyst/Project Manager/Officer.
- Other duties as assigned.
QUALIFICATIONS:
- A high school diploma, GED, or equivalent combination of education and experience.
- Must have a basic understanding of accounting practices.
- Possesses a working knowledge of Microsoft Office programs, such as Word, Excel, and Outlook.
- Ability to file using various filing methods.
- Demonstrated ability to follow through and complete tasks with little or no supervision.
- Consistently communicates clearly and effectively with coworkers and management.
- Must have a strong attention to detail
- Two (2) years administrative experience preferrably in construction or labor compliance.
- Experiencing walking active construction sites and interacting with all levels of construction personnel onsite is preferred.
- Must be able to travel extensively (minimum 2 weeks a month) and have the ability to rent a vehicle.
- Must possess proficient oral and written communication and presentation skills and able to communicate effectively with wide variety of people with diverse background of all levels and disciplines.
- Must be able to develop and maintain positive, cooperative, team-oriented relationships with co-workers, supervisors, managers, clients and others in contact with the job.
- Must have strong customer service orientation and assess customer needs and ensure delivery/receipt of service when appropriate.
- Able to efficiently and effectively handle multiple and shifting priorities.
- Rudimentary working knowledge of MS Office
- The ability to effectively communicate verbally in Spanish is highly preferred.

While performing the duties of this job, the employee is regularly required to stand, walk, sit and talk or hear. The employee is occasionally required to use hands to finger, handle, or feel. Must be able to use a computer keyboard and calculator. The ability to occasionally lift and/or move up to 10 pounds, generally at waist level or below. Must be able to do desk work which includes computer work and/or filing for extended periods of time. Specific vision abilities required by this job include close vision, distance vision and color vision and ability to adjust focus.

While performing the duties of this job, the employee works in a typical office environment and is occasionally exposed to moving mechanical office machines. The noise level in the work environment is usually moderate. Some travel to job sites and other offices is required. Must be able to travel and work extended schedule as needed.
