Successful completion of Background, MVR and Drug Free Workplace Screenings.
EDUCATION and/or EXPERIENCE
Associates degree preferred OR 2+ years related experience and/or training. Must possess excellent computer skills – Microsoft Teams and related Word programs, specifically strong skillset in Excel to include formulas and advanced level tools, presentations and PowerPoint.
SUMMARY
This is a position of special trust and responsibility involving the handling of both routine and sensitive administrative requirements for the CEO, Senior Management team and Officers of the Board of Directors. The Administrative Assistant is routinely exposed to and involved in both formal and informal communication and discussions that require the utmost in confidentiality.
Coordinates, oversees, and performs a wide variety of administrative and program support activities. Responsible for coordinating meetings and assisting in projects from beginning to end. To include attending meetings and taking minutes for several committees, receiving project documents and compiling summaries that include project planning and target dates for those involved.
Organizational Skills: This position will require the ability to initiate work, complete tasks, pay attention to detail and meet deadlines with minimal supervision. Ability to work in a fast-paced environment and produce high-quality work in a timely manner. Must have the ability to work in a changing, flexible, and team-oriented environment. Requires constant monitoring and tracking of progress of team projects.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Greet visitors for the Administration team and ascertain nature of business.
- Production of general correspondence for CEO. Proofreads copy for spelling, grammar and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
- Schedules and organizes activities such as meetings, conference and department activities for the Administration as needed.
- Schedules / Coordinates appointments for CEO and Team Leaders.
- Opens mail for the CEO when they are traveling. Drafts written responses or replies by phone or email when necessary.
- Attends and records minutes of Board of Directors meetings. Transcribes and distributes meeting minutes within one week for review. May provide administrative support to the President of the Board of Directors.
- Attends Team Leader meetings, taking minutes and tracking topics at hand. Transcribes and distributes meeting minutes prior to next scheduled meeting for review.
- Assists CEO with community and fundraising projects.
- Maintains community contact database; compiles and distributes correspondence.
- Participates as a team member and contributes to the enhancement of the department and the agency.
- Participate in organizational committees, i.e. Wellness Committee,, HR CARF Committee
- Performs other related duties as assigned/required.
