Summary:
The Administrative Assistant is primarily responsible for providing general office support to the Crusader office and direct administrative support to the Sales and other divisions. This position also operates a multiline telephone system to answer incoming calls and directing callers to appropriate personnel.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
- Provides wide range of office administration support and technical applications including word processing, spreadsheets, memoranda, course materials, electronic calendar, email, and other technical applications.
- Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel or department. Provides callers with address, directions, and other information.
- Maintains general office files (hard copies, electronic, archived, customer files).
- Assist the Sales Division with various processes requiring database entry, emails and maintenance, as well as other departments assignments as needed.
- Follow established checklists and procedures to complete various assigned tasks in a timely and effective manner.
- Schedules and organizes activities such as meetings, lunches, holiday parties and other activities for all members of the office or business group.
- Purchases and maintains inventory of supplies for office.
- Responsible for welcoming on-site visitors and adheres to the general security procedures and announces visitors to appropriate personnel. Monitors visitor access and issues visitor badges.
- Receives, sorts, and routes mail, and maintains and routes publications. Prepares packages for shipment.
- Maintains multifunction printer, supplies and scheduled maintenance.
- Schedule and monitor office/facility/company vehicle maintenance.
- On occasion, run various office errands.

Qualifications -
Some college preferred, or an equivalent of education plus experience in an office environment.
- 3 plus years related experience with proven office administration and customer service skills required.
- Solid working knowledge of office processes and business policy development, and of related computer software and electronic communications tools.
- Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy.
- Experience managing to a budget with multiple deadlines required.
- Ability to work across teams and with a variety of projects and constituencies.
Physical Demands
While performing the duties of this job, the employee is frequently required to stand; walk; reach with hands and arms and talk or hear. The employee must occasionally lift and/or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.

Pay: $16.00 - $17.00 per hour
