The Administrative Assistant is a polished, professional with a service-oriented demeanor. This person has a curious and proactive learning mindset to support continuous improvement both personally and for the business. The ideal candidate has an aptitude for working in collaborative international team environments with a focus on maturity, proactive communication, relationship building skills and resiliency.
This position will be based in Downers Grove, IL.
Key Accountabilities
- Provides non-routine project-based and administrative support to Senior-level management, handling high volume of competing requests (via multiple clients) that require professional discernment on appropriate urgency/prioritization to complete.
- Provide extensive calendar support requiring prioritization of multiple calendars with effective communication across various stakeholders (especially Administrative colleagues) throughout the company.
- Serve as gate-keeper to senior-level management and maintain discretion with highly sensitive company information related to people and projects.
- Coordinates, schedules and manages travel, meetings, seminars series, and conferences for leadership.
- Completes monthly expense reporting with accuracy in a timely manner.
- Initiates and continuously improves administrative procedures for manager/department.
- Displays a working knowledge of the company’s product/service + mission critical goals and assists with the implementation of systems/ process that the company needs to operate effectively and achieve optimal success.
- Works as a collaborative team member with peers to help level-load work; take initiative to understand the unspoken need and deliver proactive customer service.
- Order supplies which may include paper products, corporate request items for the building, supplies to support shipping needs, office items for the front desk area.
- Handles facilities concerns/issues by contacting the property manager, vendors, service providers, and/or department impacted.
- Handles special events by scheduling conference rooms, ordering supplies, and ordering meals. Set-up and clean-up before, during and after the events.
- 3+ years of progressively responsible and successful Administrative Assistant experience in dynamic, high growth environments
- Bachelor Degree strongly preferred
- Advanced working knowledge of Microsoft Office Suite (i.e. PowerPoint, Word, Excel, and shared collaborative tools such as SharePoint and OneDrive for Office 365) with comfort of use and integration of mobile technology platforms.
- A “Self-starter” mindset that takes initiative to continuously improve processes for ongoing effectiveness of the leadership team and company.
- Strong communication skills, verbal and written.
