Job Summary
Under the supervision of the Committee of Architecture Supervisor, provides administrative, clerical support, and receptionist duties for the Administrative office of Pueblo West Metropolitan District.
This position provides administrative and clerical support for the Administrative Department, Community & Neighborhood Development, Public Works and other District departments requiring extensive contact and liaison with the public. The incumbent provides support in maintaining website information, public use forms and handouts, driveway access permit collection, COA application submittals, other public documents and email correspondence to various departments for processing.

Essential duties and responsibilities may include, but are not limited to the following:
Answers telephone, screens and directs calls, takes messages, assists visitors to District operations and other District services.- Performs clerical duties of both public and employee communications, process correspondence, filing, copying, mailing, distribution, data entry, Committee of Architecture drafting minutes, and other projects as required.
- Create, maintains, and updates spreadsheets for tracking of Public Works permits, payments and contractors associated with the Committee of Architecture.
Other Duties
Collects the mail and newspaper delivered to offices, accepts, processes and collects fees associated with applications and permits, directs deliveries when needed, maintains the lobby, responsible for locking and unlocking the lobby doors during business hours and posting notices of office closures.- Assists with check requests, process and reconciliation of credit card statements and bank deposits for district departments as requested.
- Maintains COA web page, including posting the COA agendas and minutes, applications and updates the COA website with current available information as needed.
- General office equipment upkeep and purchasing of office supplies.
- Be advocates promoting health and safety in the workplace.
- Embodies the District Core Values of Customer Service Excellence, Integrity, Transparency, and Efficiency.
Knowledge
Knowledge of office procedure, practices, general office equipment and computers. Knowledge of District organizations, functions and services. Clear and concise ability to communicate verbally and in written form with the public, employees, contractors and management.
- Thorough knowledge of current principles and practices applicable to assigned areas of responsibility; local, state and federal laws and regulations related to assigned functions.
Skills
Advanced computer skills to include the ability to use Microsoft Word, Excel, PowerPoint, Publisher and Outlook as well as an asset management program. Accela and database.
Abilities
Ability to establish and maintain effective working relationships with employees, the public and others; to write and speak clearly and concisely.
Required Qualifications (Note: Any acceptable combination of education, training and experience that provides the above knowledge, abilities and skills may be substituted.)
Required Education/Certifications Required
High school diploma or G.E.D., supplemented with courses in Microsoft Office software.- Must have and maintain a valid Colorado class “R” driver’s license.
Position Type/Expected Hours of Work
- This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 5 p.m.

- Must be able to deal with confrontational situations. Must be excellent in customer service.
Physical Demands
Frequent use of keyboard devices, extended use of computer keyboard. Standing, sitting and bending on a regular basis.- The work is mostly sedentary with periods of light physical activity, and is performed in office surroundings. Typical positions require workers to walk or stand for long periods; lift and carry up to 20 pounds; climb stairs, bend, reach, hold, grasp and turn objects; and use fingers to operate computer or typewriter keyboards. The work requires the ability to speak normally and to use normal or aided vision and hearing.
Unusual Demands
Work is subject to recurring deadlines, changing priorities and frequent interruptions.
