The University of Southern California (USC) and its Department of Quantitative and Computational Biology (QCB) at the Dana and David Dornsife College of Letters, Arts and Sciences is seeking enthusiastic candidates for the position of Administrative Assistant II to support Department’s constituencies in fulfilling its mission of excellence in research, education, and service. As team member of this dynamic and growing Department, you will be providing key administrative support to the Department, organize events that enhance scholarly collaborations within and outside of university, contribute to students’ quality of study experiences, support QCB Chair and work with the administrative team to achieve QCB’s goals and meet its business needs. The role will assist with and coordinate such activities as:

  • Support Department Chair: initiating and coordinating meetings, travel arrangements, providing editorial support by writing, compiling and editing data, preparing the communications and project logistics for the Chair.
  • Coordinate Seminar Series events and speaker visits: coordinate travel, scheduling, facilitate visitor’s meetings and events.
  • Assist with Faculty recruitment: coordinate travel, scheduling, recruitment-related events in coordination with QCB Program Manager and Search Committees.
  • Assist with Dept. business communications: compile data, track Department’s events and news, provide editing and formatting support. Prepare and disseminate faculty and other business meeting minutes.
  • Provide general office support and coordinate Departmental events: ensure adequate working space and supply needs for business operations, schedule events and rooms for the events, order refreshments, disseminate event information.
  • Maintain calendar of designated building spaces for laboratory meetings, Department-owned courses, and other Departmental activities and events.
  • Process reimbursements and payments through the USC and College’s business and administrative systems, facilitate vendor registration with the university and vendor visits.
  • Liaise with Dornsife Architect and Facilities Planning and Management on facilities requests for Department spaces.
  • Process visa for visiting scholars and guests based on policies of USC’s Office of International Services and in accordance with their process requirements.
  • Prepare shipments and receive QCB packages, manage mail room.
  • Maintain phone/email/mailroom lists
  • Other duties as assigned

Qualifications for the job include: Ability to maintain tact and attention to detail in a fast-pace environment; Team-work and self-starter are essential; Ability to maintain confidential records; Ability to prioritize tasks and projects according to provided guidelines; Basic understanding of scientific research environment; Understanding of support systems for faculty, students, and researchers; Experience with USC’s procurement and reimbursement systems is a strong plus; Experience with event and guest speaker organizing is a strong plus.

Minimum Education: Bachelor's degree, Combined experience/education as substitute for minimum education
Minimum Experience: 3 years
Minimum Field of Expertise: Secretarial or specialized clerical and administrative experience

Hourly range: The hourly rate range for this position is $26.00 - $31.70.
