This position is for ONE Administrative Assistant III or IV. The Texas Department of Transportation reserves the sole right in determining the level of position based on the applicant's work experience, education, skill level, and all other appropriate factors, and based on business needs.

Salary Plan/Grade:

  • Administrative Assistant III: A17 ($36,976.00 - $ 58,399.00/yearly)
  • Administrative Assistant IV: A19 ($42,244.00 - $ 68,960.00/yearly)
Minimum Salary : 36,976.00 Maximum Salary : 68,960.00 Pay Basis : Yearly

Travel : Yes, 5 % of the Time
Shift : Day Job Shift Details : 40-Hour Work Week. This position works M-F.

Position Description


Performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

Essential Duties:

Administrative Assistant III or IV:

  • Coordinates and/or composes correspondence and reports regarding technical program initiatives.
  • Represents the supervisor at meetings and is in contact with other governmental agencies and professional groups.
  • Reviews information going to the supervisor and highlights important matters; researches and provides additional information as needed; briefs supervisor on background information needed for meetings.
  • Attends meetings with supervisor; takes notes, summarizes, and follows up on any actions that need to take place.
  • Coordinates with other state agencies, private entities, and within the Department to meet program guidelines and deadlines.
  • Coordinates, organizes, and composes meeting agendas.
  • Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.
  • Reviews, prepares and/or negotiates applicable program purchases for services, office materials, supplies, tools and/or equipment and monitors contracts.
  • Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and travel arrangements.
  • Performs other job responsibilities as assigned. This position requires you to drive for TxDOT.

Additional Duties for an Administrative Assistant IV:

  • Coordinates front office operations to include responding to telephone calls, email, walk in customers, and routing messages.
  • Maintains and updates office files/records/logs and suspense systems and a wide variety of automated systems in support of personnel, finance, budgeting, inventory, contracts, purchasing, and travel information.
  • Performs other job responsibilities as assigned. This position requires you to drive for TxDOT.

Minimum Qualifications:

Education: High School Grad or Equivalent in general high school studies.

Administrative Assistant III:

Experience: 3 years in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Substitutions for Minimum Qualifications

Administrative Assistant IV:

Experience: 4 years in administrative or clerical support, customer service, or related experience. (Experience can be satisfied by fulltime or prorated parttime equivalent). Licenses and Certifications:

Valid driver’s license. This position requires driving a state vehicle.

Administrative Assistant III or IV:

  • Applicable governmental laws, rules and regulations specific to area of responsibility for safeguarding information and information technology related systems
  • Automated record-keeping methods
  • Applicable computer systems and applications
  • Public relations for maintaining effective working relationships with individuals and groups, both internal and external
  • Coordinating and scheduling activities/resources
  • Administrative support practices and procedures to include writing, editing and report writing techniques, recording meeting notes, record keeping and records management
  • Preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents for clarity and consistency
  • Preparing and maintaining confidential and sensitive records, files and reports
  • Shows initiative and action beyond what is required to improve products or services; is self-starting and completes assignments independently without constant supervision
  • Maintains composure when handling problems, stressful situations, continuous change or unexpected developments
  • Using computers and applicable programs, applications, and systems

Physical Requirements and Working Conditions:

  • Sedentary work: Lift up to 10 lbs. at a time and occasionally carry files/small tools
  • Light work: Lift up to 20 lbs. at a time and frequently lift or carry objects up to 10 lbs.
  • Sitting - prolonged periods of time
  • Standing-prolonged periods of time
  • Repetitive Motion-substantial movements of the wrists, hands, and/or fingers
  • Close Visual Acuity-work includes data/figures; view a computer screen; extensive reading
