About the Job:

We are seeking a new addition to our amazing global team who can fill the role of Administrative Assistant to partner with our Marketing Executives

Reporting to the Chief Marketing Lead, the Administrative Assistant is a unique role with high visibility to the leadership team and can help drive the success of the organization. Primarily responsible for providing day to day assistance Chief Marketing Lead as well as promoting the company image by representing the individual internally and externally. This position requires demonstrated poise, tact and diplomacy while working with multiple, complex tasks and problems.

The Day-to-Day:

  • Plans and manages all communications for the Executive Team member to ensure a smooth flow of work tasks and support while assessing urgency and importance of the situation to take the appropriate actions. This will include:
    • Support incoming materials and data and briefing the Executive regarding important issues or conflicts as they arise.
    • Preparing various documents including email correspondence, letters and presentations as directed by Executive .
    • Assisting with developing and creating PowerPoint presentations, Excel spreadsheets and other documents as needed.
  • Establishes the Executive's calendar to coordinate and balance strategy for key meetings, speaking engagements, Franchise and Company field visits and RSC (Restaurant Support Center) interactions. This can include:
    • Managing busy and ever-changing business and personal calendars and ensuring the Chief Marketing Lead's timely attendance at meetings and overall time management against project deadlines.
    • Coordinating executive travel itineraries (for executive and team when applicable) and expense report management.
  • Coordinates and manages important meetings on behalf of executive such as team meetings, direct report meetings, off-sites and all logistical elements while actively participating.
  • Acts as gatekeeper and liaison on behalf of the executive by fielding contacts and ensuring that they are handled effectively, efficiently and with a high level of professionalism.
  • Supports fellow Admin Assistants with timely information, calendaring, monthly meetings and general support as needed.
  • Responsible for general administrative tasks

Is This You?

  • Minimum of 5+ years of progressive administrative experience with at least 3+ years supporting multiple Sr. Executive Team members, ideally in a large organization.
  • Bachelor's degree preferred
  • Advanced computer skills in Word, Outlook, PowerPoint and Excel
  • Strong calendaring experience, preferably dealing with complex meeting scheduling and shifting priorities
  • Ability to prioritize work, demonstrate problem-solving ability, attention to detail, and managing information
  • Ability to anticipate team needs and come up with creative solutions
  • Flexibility to evolve as business needs change in a fast-paced environment

Salary Range: $70,000 - $77,000 annually + bonus eligibility + benefits
