We are currently seeking an Administrative Assistant to support the Executive Leadership Team. This is a fundamental role to the business, providing an exceptional level of support to this key group of leaders, and you will report into the Chief of Staff. You will also become an expert on OKRs (Objectives and Key Results) and administer the OKR program to the entire company, helping to ensure that our teams remain laser focused on our strategic initiatives. This role requires a high level of attention and focus and ability to shift priorities quickly – constantly ensuring that the needs and requirements of the executives are managed, while also moving your OKR responsibilities forward to help drive our strategic initiatives forward. Exceptional relationship skills and being highly organized are a must. You will always be thinking one step ahead, a strong communicator and a master influencer.
Responsibilities

Executive & administrative support (roughly 50% of role)

  • Manage meeting requests, book travel and submit expenses for the 11-member Executive Leadership Team
  • Assist with presentation production and logistics
  • Full administrative support to leaders
  • Serve as back-up to the CEO’s Executive Assistant
  • Support the Chief of Staff with office management, event planning and ad hoc special projects
OKR administration (roughly 50% of role)

  • Support the day-to-day administration and management of the OKR program
  • Monitor deliverables to ensure timely completion of projects
  • Schedule and lead meetings with OKR owners to drive the progression of the corporate strategy
  • Create status reports and presentations
  • Provide training on OKRs and the electronic corporate strategy system
Qualifications
Education: B.A./B.S. required
Experience: Minimum 5 years of relevant work experience.

  • Previous experience as an Administrative Assistant.
  • Excellent writing skills and impeccable attention to detail.
  • Ability to work in a fast-paced environment, agility to multi-task, and strong prioritization skills.
  • Strong interpersonal skills, professionalism, and positivity, in a very public facing role, with comfort interacting with and supporting individuals of a variety of backgrounds.
  • Ability to manage by influence and build strong internal and external relationships.
  • Ability to work independently and proactively, synchronizing rapidly to anticipate needs.
  • Ability to give and receive timely feedback.
  • Skilled in use of Outlook, PowerPoint, Excel, and Word.
  • Experienced in booking corporate travel and processing expenses.
  • Previous experience with OKRs and Inspire a plus.
Working Environment/Working Conditions:
  • Desk work using a computer with up to two days a week allowed from home.
  • Adjustable height work desk provided upon request.
  • Meeting occurring on-site and virtually (Teams, Zoom, Ring Central, etc.)
  • This position is located indoors and requires the ability to move between rooms within the same building, adhering to FCE’s covid-19 safe practices - includes social distancing, face mask wearing, and other protocols.
