Planned Parenthood Pasadena & San Gabriel Valley (PPPSGV) has been serving the community since 1933 and is one of the original affiliates in the nation.
We provide on-ground reproductive health care, health education and advocacy from our five health centers in
Alhambra, Baldwin Park, Glendora, Highland Park, and Pasadena. We strive to ensure the sexual and reproductive health services we provide are in line with the needs of the communities we serve. Our service area extends from Glendora to Glendale and from the San Gabriel Mountains to the San Bernardino freeway, home to 24 communities and a diverse population of 1.4 million people.
Provide administrative support to the Public Affairs Department of PPPSGV. Provide logistic support for Planned Parenthood Advocates Pasadena and San Gabriel Valley (ancillary 501c4 organization).
In this role, you will make a difference by:
- Working with all people and departments to coordinate meetings, webinars, events, etc. in support of department initiatives
- Providing administrative support to the Public Affairs department of PPPSGV. Provide logistic support for Planned Parenthood Advocates Pasadena and San Gabriel Valley (ancillary 501c4 organization). Support various meetings by taking minutes, coordinating speakers, identifying action items, and sending follow-up communications
- Prioritizing several projects at once, as well as multi-phase projects and meet deadlines
- Effectively handling requests, tasks, and projects of varying priority from multiple stakeholders
- Preparing and processing expense reports, invoices, and political reporting documentation for approval
- Assisting with preparation for presentations, reports, and correspondence
- Providing virtual and in-person event support with coordinating logistics, such as vendors, supplies, promotional items
- Assisting with advance of community outreach activities, special events and lobbying efforts
- Making travel arrangements, such as booking flights, cars, and making hotel reservations.
- Coordinating the intake of external requests for information, such as for student assignments and general volunteer inquiries
- Assisting with volunteer and event coordination for the volunteer program
- Assisting with data entry for various databases
- Supporting the needs of Director of Public Affairs and VP of Advocacy & Equity
- Serving as a representative of the department as needed for internal and external needs
- Working well in high-pressure situations and meet deadlines, while maintaining detailed accuracy
- Performing other job duties as assigned
- Coordinating with Communications Department to manage PP Advocates‘ social media pages
- Onboarding new PP Advocates employees to reporting and data management systems
- Assisting in tracking, collecting and processing C4 timesheets for the Public Affairs Department and other applicable departments.
- Providing administrative support to PP Advocates as needed
PP Advocates
We are looking for someone with the following:
- Education:
- High school diploma or equivalent. Associate/Bachelor’s degree a plus.
- Experience:
- Two years providing administrative assistance
- Experience working with confidential information
- Experience working with Microsoft Office Suite or related software
- Experience with entering and managing information in databases
- Familiarity with reproductive and sexual health and justice issues
