General Description

This position is responsible for providing administrative and customer service support to the DPS/Engineering department on a part-time basis.

Essential Functions


1. Provides customer service to internal and external customers; greets, receives and screens visitors, addresses and resolves customer inquiries and refers complex inquiries, requests, or complaints to appropriate staff.
2. Picks up, sorts, copies, and distributes a variety of correspondence, deliveries, and mail; opens, logs, and routes office mail; sorts and prepares outgoing mail and documents for pickup; retrieves, delivers, and sends faxes and emails.
3. Composes routine correspondence; proofreads and edits documents; enters, scans, updates, and maintains information in spreadsheets, databases, and reports.
4. Creates and maintains filing and record systems to provide easy access to records and information; complies with record retention schedule requirements and assists with records requests.
5. Supports the Engineering staff by assisting with tracking of projects, sending updates and other information to contractors and maintaining correspondence records for contractors.
6. Builds and maintains project files; tracks and coordinates documents necessary from outside departments and contractors; files long term agreements in accordance with department policy.
7. Performs general clerical duties such as typing, filing, indexing, making photocopies, faxing/emailing correspondence, and mail preparation and distribution.
8. Updates and maintains electronic and paper databases, files, forms and records.
9. Compiles, proofreads, copies, sorts and files records relating to department activities.
10. Schedules water/sewer line inspections. Enter work orders and complaints into department database.
11. Prepares new connection fees for water/sewer lines, and permit fees for contractors. Updates database, documents bond information, documents payment receipts, schedules appointments, and processes/files necessary documentation and prepares other records as needed.
12. Prepares and processes information for Area Maintenance Meters and Commons Meters. Updates database, documents payment receipts, schedules appointments, and processes necessary paperwork.
13. Schedules water meter installation, checks, and repairs. Process payments and maintains work order documentation. Closes file upon completion of work order.
14. Processes hydrant permits, right-of-way permits, and flow test forms. Documents payment receipts and processes paperwork.
15. Other duties as assigned.

Required Minimum Qualifications/Desirable Qualifications
MINIMUM REQUIRED QUALIFICATIONS
  • High School Diploma; and
  • Three (3) years administrative support experience.

OTHER REQUIREMENTS
  • Intermediate proficiency with office computers and associated business applications. Microsoft Word, Excel, PowerPoint and the ability to learn department specific software and applications.
