Overview

Tantor Media, Inc. is a rapidly growing audiobook company and currently has openings for an Administrative Coordinator Candidates must be able to conduct work in the state of CT, both from home, as needed, as well as out of the Tantor Media headquarters in Old Saybrook, CT.

This is a full-time non-exempt position (40 hours weekly) and will report directly to the Director of Production.

Position Responsibilities including but not limited to:

The primary responsibility for this role is to support the Director of Acquisitions, Director of Production, Production Manager, Pre-Production Manager, and Casting Director with the objective of administrative support and facilitating licensor communication.

  • 60% of time: Use both manual and system processes to track and report on acquired titles prior to production.
    • Support Acquisitions, Content, and Casting teams identifying titles encountering issues
      • Point person for communicating with Acquisitions on current Project statuses
    • Monitor actionable title queue with Director of Production and assist in organizing priority projects
    • Assist Casting with licensor follow-ups in narration approval process
  • 40% of time: Assist Director of Production, Production Manager, Pre-Production Manager, and Casting Director with administrative duties, including but not limited to author narration data collection & contract generation for Director of Production and Casting Director, master transaction data collection & contract generation for Production Manager, narrator invoice support, and assisting Casting with tracking and obtaining prep passes for upcoming new titles.


Qualifications:

  • 4-year degree in English, Communications, Journalism or other related fields or experience in audiobook/publishing field
  • Exceptional written and verbal communication skill
  • Exceptional organizational skills
  • Strong knowledge and experience with Microsoft Office (Word, Excel, Outlook)
  • Experience in the areas of project support, production coordination, or related administrative fields
  • Motivated self-starter with a constant desire to meet and exceed goals
  • Ability to work independently and effectively with internal departments and external contacts (authors, narrators, publishers, industry professionals), using diplomacy and creative solutions when problem-solving
  • Ability to work effectively in a deadline driven environment and to adapt to changing priorities
  • Strong focus and multitasking ability, including ability to sit and read from a computer screen for 8 consecutive hours per day
