The Administrative Counseling Associatet will provide superb customer service to our current and new clients with the highest degree of integrity, professionalism, and discretion. S/he will have a proven ability to independently manage multiple tasks with competing priorities and deadlines. The ideal candidate will enjoy taking on new opportunities for growth. Specifics:

This role will primarily work with Pamela, our lead counselor, but will also work with our educational specialist and a part time counselor. Position is 35-40 hours a week. Bachelor’s Degree preferred. Background in social work, teaching, psychology, or related field preferred.

Administrative Tasks:

  • Arrive 30 minutes prior to first client to open office.
  • Establish and maintain positive relationships with clients.
  • Greet and engage with the clients as they arrive and when they leave.
  • Respond to client calls, texts, and emails in a timely manner.
  • Schedule and confirm all sessions.
  • Take payments for all clients before their session begins, and update payment database.
  • Print case notes and organize client binders with previous sessions information.
  • Coordinate cases, objectives, and deadlines of other staff members.
  • Maintain and enforce total confidentiality of all client personal data.
  • Send homework assignments to all clients as assigned them.
  • Print all homework that comes in and send it home with counselor the night before the client comes in for a session. If something comes in after hours, forward to counselor.
  • Update and maintain client database.
  • Coordinate and communicate as needed with external individuals on client issues.
  • Prepare an agenda and work plan that needs to be discussed with counselor during meetings twice a week.

Creative Tasks:

· Research and create homework assignments and curriculum for clients.

· Research to be done in the management of treatment plans.

· Research articles and topics that will be beneficial for clients.

Miscellaneous Tasks:

· Office upkeep: water plants, take out trash, etc.

· Clean the office (sweep, Swiffer, clean bathroom, vacuum rugs)

· Customer service: fridge stocked with bottled water, snacks stocked

· Go to the grocery store to stock up on water and kids snacks.

· Be sure Pamela has lunch/snack between sessions.

· Complete various errands as needed for Pamela.

· Other duties, responsibilities, and/or activities may change or be assigned at any time.

Job Type: Full-time

Pay: $15.00 - $18.00 per hour

Schedule:

  • Monday to Friday

Ability to commute/relocate:

  • Nolensville, TN 37135: Reliably commute or planning to relocate before starting work (Preferred)

Education:

  • Bachelor's (Preferred)

Experience:

  • Administrative: 3 years (Preferred)
  • Mental Health: 1 year (Preferred)
