We are currently seeking an Administrative Manager that will assist the District Manager with day-to-day office administrative functions. The primary job duties consist of providing a high level of support to our clients in support of the professional’s forensic engineering work. Additional responsibilities include assisting the Fort Lauderdale district manager.. The position is an in-office position where the individual is expected to be in the office during business hours; however, a private office will be provided.

Essential Job Functions

  • Supports the business needs of the district office.
  • Provides support to professional staff by completing administrative work.
  • Answers phones and directs telephone calls and messages to personnel.
  • Send client’s invoices and follows up via email and telephone on unpaid invoices.
  • Answers the door, accepts packages and mail delivery.
  • Coordinates express mailing of equipment shipped between district offices.
  • Coordinates electric file shares of project data on behalf of professional staff
  • Maintains the evidence storage facility and manages the office’s technical equipment
  • Handles transfers and disposal of evidence
  • Audits and archives electronic folders.
  • Updates electronic project records.
  • Assist with scheduling of inspections along with others on the administrative team.
  • Assist with the organization of bi-monthly office meetings and other office activities and gatherings
  • Acts as a key assistant for the Fort Lauderdale district manager.

Required Education and Certifications

  • An associate’s or bachelor’s degree from an accredited college or university is preferred.

Required Skills and Abilities

  • Excellent oral and written communication skills are required.
  • Outstanding computer skills are expected, including the ability to effectively use and assist others with Microsoft Office (Word, Excel, Outlook). Experience with shared Outlook Calendar as a scheduling tool is a plus.
  • Must have strong interpersonal skills and demonstrated poise, tact, and diplomacy.
  • Must be able to handle sensitive and confidential information.
  • Must have good organizational skills as well as analytical and interpretive skills.
  • Should have the ability to manage multiple projects and set priorities.
  • Must have the ability to work independently or in a team environment.
  • Must have dependable transportation and have a valid Florida Driver’s license.
  • Experience in the engineering, legal, or insurance fields a plus.

Physical Demands, Overtime, and Travel Requirements

Work is performed primarily in an office setting. The employee is frequently required to stand, walk, sit, bend, crouch, hear, and talk (must be able to speak and communicate clearly with employees). Employee may lift and/or move up to 50 pounds. Clear vision and depth perception are also necessary.

There will be periods where overtime will be required to meet the company’s business needs.

Pay: $1.00 - $2.00 per hour
