ADMINISTRATIVE SPECIALIST

Administrative Services Organization (ASO)

$20.19 - $22.11 per hour


MAJOR FUNCTION


Performs a variety of advanced administrative and programmatic duties associated with the Administrative Services Organization (ASO) and Finance Department.


MAJOR DUTIES

Depending on assigned area of responsibility, incumbents in the position may perform some or all of the activities described below.

  • Generates, distributes, and maintains contracts, agreements, and service authorizations with providers.
  • Distributes emergency checks daily and mails payments for ASO and Finance.
  • Reviews and approves individual authorizations for bus fare cards, fills orders, and distributes cards.
  • Triages all incoming electronic faxes, departmental emails, and US mail.
  • Generates and distributes monthly enrollment and financial reports to ASO participants.
  • Assists with processing participant payment requests and obtaining payment documentation from providers.
  • Reviews back up documentation and attaches to payments, ensuring compliance with ASO fiscal documentation requirements.
  • Scans payments, tax documents, and contracts processed through the ASO and Finance Departments.
  • Assists with management of the provider network, including addition of new providers, gathering tax and credential documents, and maintaining provider database and credential files.
  • Provides consultation and technical assistance to case managers, supervisors, participants and providers.
  • Submits purchase orders for ASO, Finance and other departments as requested.
  • Provides administrative support for trainings and/or special events.
  • Performs other related duties as required.

KNOWLEDGE, SKILLS, & ABILITIES


  • Thorough knowledge of administrative practices
  • Proficiency with Microsoft Office Suite
  • Excellent verbal and written communication skills
  • Ability to research, collect, and organize data
  • Ability to maintain a large database of information and enter data with a high degree of accuracy
  • Ability to use initiative and exercise sound judgement
  • Ability to multi-task with attention to detail and manage changing priorities with a positive attitude
  • Ability to handle restricted, sensitive and confidential information
  • Ability to serve the public and represent the Children’s Board with courtesy and professionalism.

MINIMUM QUALIFICATIONS


Graduation from an accredited four-year degree granting college or university
OR
An associate degree from an accredited college or university and
Two years of professional administrative experience.


APPOINTING AUTHORITY MAY REQUIRE


Possession of a valid Driver License.
