Academic Req:
Required – High School Diploma, or equivalent;
Preferred – 2-year Associate degree from accredited program/institution, or two or more years of college-level course work
Certifications: First aid, CPR, Emergency behavior intervention
Work experience:
Required – 2 plus years related experience and/or training;
Preferred – 4 plus years related experience and/or training
Summary: Provide administrative support to the Office of the Executive Director. This support may be technical or logistical in nature and will be an assigned duty and responsibility.
Critical Action Items & Measurable Deliverables:
1. Meet all federal and state regulatory guidelines and standards that are applicable to this position.
2. Manage some purchasing for the program as directed by the supervisor.
3. Draft correspondence, memos, charts, etc. and proofread copy for spelling/grammar and layout to ensure the clarity and accuracy of the final copy.
4. Oversee the maintenance of on-site personnel records in a confidential manner.
5. Maintain billing files and reconcile payments received before forwarding the information to the account department.
6. Assist in new hire process.
7. Under the direction of the Executive Director or the Deputy Executive Director, arrange birthday, get-well and thank you cards and gifts for staff.
8. Send weekly staff letters as directed by the Executive Director or Deputy Executive Director
9. Promote a positive work experience into the Division’s spirit and core values through activities, events, and games.
10. Participate in workshops, seminars, education programs and activities that promote professional growth and development.
11. Maintain necessary supplies for office use and inform supervisor of needed supplies and equipment repair.
12. Work evenings, weekends and holidays as needed or requested by position supervisor.
13. Implement Compass Connections safety protocols in case of an emergency.
14. Maintain confidentiality in all areas of the service population and program operations.
15. Maintain Compass Connections professional and ethical standards of conduct outlined in Compass Connections employee handbook including demonstrating respect for agency staff, the service population, and community members and complying with required dress code at all times.
Other Responsibilities:
1. Provide administrative support for the Executive Administrative Assistant, the Executive Director, and relevant Associate Executive Director(s) including maintaining the office calendar, gathering background information, researching topics, preparing executive summaries, and coordinating with other departments.
2. Maintain personnel files in compliance with agency policies and procedures and licensing and contract standards.
3. Frequently traverse from one area to another within the administration building.
4. Meet all deadlines required by program supervisor and federal partners.
5. Communicate effectively in writing and verbally in English and Spanish.
Requirements:
1. Pass a pre-employment drug screen and random drug screens and maintain emotional control and professional composure at all times.
2. Provide proof of work eligibility status upon request.
3. Pass a pre-employment and biennial criminal background checks.
4. Demonstrate the ability to:
a. Respond sensitively and competently to the service population’s cultural and socio-economic characteristics
b. Communicate effectively in writing and verbally in English and Spanish
c. Work in a fast-paced environment and maintain emotional control and professional composure at all times
d. Maintain computer literacy required to meet the responsibilities of the position
e. Work effectively and without intensive supervision both independently and as a member of a multidisciplinary team
5. Demonstrate a working knowledge of all Compass Connections and procedures.
