Area Group Room Coordinator Job at Commodore Perry Estate

Secluded on nearly 10 acres on Waller Creek, the Commodore Perry Estate comprises a 10,800-square-foot home, a chapel and gardens enclosed within a walled compound in the style of an Italian country villa and is listed on the National Register of Historic Places. Now refreshed and refurbished as a luxury 54 room resort, the property will open in mid-2020.

Become one of the authors of our story. Join our team as our Area Group Room Coordinator at the Commodore Perry Estate in Austin Texas and Primland Resort, Blue Ridge Mountain of Virginia. A focus on ENRICHing the stay of our guests and striving to create a positive work environment for the team.
Every guest’s unique stay experience begins in a customized and authentic reservations experience. :At Commodore Perry Estate, our guests craft their vacations with the guidance of our knowledgeable and friendly reservations sales associates.
Core Responsibilities :Please note that this is not an exhaustive list of everything that needs to be done! Within the Auberge family, our people always find new ways to look after the business, their guests, and their team-mates.
- Execute contract turnovers (ensuring all contract details are noted in Delphi and the PMS)
- Enter rooming lists accurately and with detailed notes, room types, rates, dates, proper billing and fixed charges.
- - Block rooms - assign room numbers
- Create notes in Opera and SMS with accurate information for the Reservations team for Call-In groups
- Create link on Sabre for groups that request to have attendees book on-line
- Provide recommendations & prepare addendums when needed
- - Facilitate weekly GRC pickup meeting with revenue management team to ensure optimization of hotels-
- - Monitor group pick up and cut-off date and attrition date- notify Sales Manager if numbers are not met
- Enter VIP reservations as needed for group attendees/site inspections.
- Attend Pre-Cons if available
- Attend GRC Meetings
- Keep current with all communication and hotel information
- Ensure appropriate guest/meeting planner follow up takes place in a timely and proper fashion, in accordance with the standard operating procedures.
- Maintain rate integrity in accordance with revenue management strategies
- Maintain and monitor interface with Delphi/PMS
- Perform audits of groups as necessary
- Assist in maximizing hotel room revenue and occupancy numbers
- Participate in department meetings as scheduled
- Must be a cultural ambassador and participate positively in a sales team environment.
- All other duties as assigned.
- Strong computer skills, including Voice Agent, Opera, Synxis, NAVIS.
- Must be able to sit for long periods of time.
- Ability to work in a remote environment.
- Must have previous reservation sales experience, including usage of NAVIS.
- Must have a quiet, dedicated space, free of distractions.
- Basic knowledge of Microsoft Office software suite.
- Must be able to type 35 wpm.
- High school graduate or equivalent.
- People person – must possess a professional, positive presentation and strong motivation to provide exceptional customer service.
- Ability to thrive and succeed in a fast-paced, demanding work environment; must be flexible to changes in direction, routine and schedule.
- Ability to read and comprehend complex instructions and multitask.
- Strong verbal and written communication skills.
- Ability to use office equipment in an effective and efficient manner.
- Strong organizational skills.
- Ability to work as a team player and accept assignments from multiple individuals.
