Clayton Youth Enrichment is currently recruiting for an Area Program Manager.
Clayton Youth Enrichment is Tarrant County's largest, on-site, youth enrichment provider. The non-profit agency serves 7,000+ children and families annually through its after-school and other out-of-school time enrichment programs.

The primary purpose of the Area Program Manager (APM) of grant-funded programs is to serve as the lead representative overseeing strategic initiatives within one of the agencies out of school time regions supported by federal, state, or local funding sources. The APM will coordinate with the Associate Director of Grant Programs and other senior leadership teams to coordinate the delivery of services including ensuring grant, operational, and program development fidelity. The role will understand and blend the agency's broader strategies and vision within their region with all grant inputs, outcomes, and deliverables as required. The APM will foster positive and productive relationships with campuses and funding administrators. The APM will lead all communications, marketing, and budget management activities for their project. The role is responsible for collaborating with senior leadership to provide regular updates and reporting on regional and grant action plans, financials, participant recruitment, staffing, observation, and assessments as well as overall performance. The APM will manage the coordination of project calendars and charts of work. The APM will also be responsible for leading and coaching their team of direct reports and collaborating with other agency departments and resources to problem solve and develop strategies to more effectively connect and build positive relationships with districts, funders, staff, partners, and stakeholders.
General Duties

  • Works with senior leadership and lead staff to develop and implement an overall project plan for the region to meet agency and grant goals and deliverables.
  • Contributes to and delivers detailed plans for budgets, timelines, reporting, and other project management tools, including programming and training schedules
  • Oversees regional program delivery, communications, and marketing.
  • Maintains and develops regional training sites in collaboration with the program development team.
  • Ensures that program and grant outcomes are achieved and that programmatic and funder survey instruments are deployed
  • Reports key program metrics and other results on a regular basis
  • Monitors and drives regional action plans for program improvement.
  • Identifies, assesses, establishes, and maintains strategic relationships with external partners throughout the region.
  • Identifies and works with agency departments that can help enhance the program's overall reach through marketing, recruiting, training and coaching.
  • Helps to field parent and partner issues, compliments, and complaints and empowers area managers to problem solve and respond appropriately.
  • Regularly collaborate with leadership on program planning, best practices, and overall management in the region

Staff Management

  • Supervise and support grant sites to integrate agency goals into daily operations
  • Track and provide support to ensure that the region has adequate staffing for assigned programs.
  • Complete annual and mid-year performance appraisals and employ coaching strategies on personal, grant, and agency programmatic goals.
  • Promote high expectation levels with corresponding recognition for excellence and achievement.
  • Model and employ coaching strategies to empower area and site leadership to have ownership over their programs and problem-solve effectively.

  • Deploy leadership to facilitate other programs outside of afternoon programming as required by the Associate Program Director.
  • Lead in hiring and approving vendors and contractors to meet grant and agency goals per grant requirements.

Program Development

  • Observe, assess and evaluate program fidelity and compliance.
  • Collect and translate data into report cards in order to build regional action plans based on evaluations, feedback, site observations, and action plans.
  • Create marketing materials and monitor enrollment and financial trends
  • Work with Clayton's coaching team to provide technical assistance and coaching to improve quality and service delivery.
  • Work with funding administrators to ensure compliance with all grant requirements and deliverables.
  • Serve as a liaison between key district administrators, grant administrators, and the Clayton office.
  • Respond to concerns of participating district and campus administrators and parents.
  • Mediate and facilitate the effective resolution of conflicts in a timely fashion.
  • Ensure that Clayton’s agency and grant goals are fulfilled per region and that there is clear evidence of the mission, values, and vision in each region.

Administrative

  • Ensure programs meet all regulations and requirements of governing agencies.
  • Create effective procedures and policies to ensure a productive program.
  • Establish and monitor each regional budget.
  • Prepare and provide reports as required, and maintain regular data collection.
  • Prepare reports and propose points of action to ensure that all regional minimum standards compliance documentation is met.

QUALIFICATIONS:

  • Strong communication, public relations, and interpersonal skills.
  • Strong organizational skills, including the ability to plan for, implement, track, and evaluate programs and staff participation in those programs
  • Spanish-speaking candidates strongly preferred
  • Ability to communicate effectively, both verbally and in writing, with all levels of internal and external stakeholders
  • High degree of computer proficiency using Microsoft Office.
  • Maintain annual training requirements as mandated and successful completion of TXDSHS background check.
  • General knowledge of assigned local regions, funding sources, and school districts is preferred.

EDUCATION / EXPERIENCE:

  • Bachelor's degree in education, recreation, child development, or a related field preferred.
  • A minimum of 3-5 years of prior experience managing medium to large teams in grant-funded programs, as well as multi-site teams in a results-driven environment
  • Experience managing and leading people and learning the strengths and weaknesses of a team to put people in a position to succeed.
  • Experience in grant management, fiscal/budget management, data reporting, and management information systems.
  • Must be able to fulfill TXDSHS requirements as necessary.
