Job Description – Rental/Assistant Association Manager
Work Environment:
SeaSpray Perdido Key Owners Association, Inc. is a condominium community, formed under Chapter 718, Florida Statutes. The residents are owners of the condominium units in the building and some of the residents serve on the SeaSpray Board of Directors. The Board of Directors oversees the governance and business of the Association.
The Association retains a professional property manager/CAM to handle its day-to-day operations. All employees report to the manager. Occasionally, a Board Member shall work directly with the Rental Manager on a task basis.
SeaSpray is comprised of three buildings, West, East, and Riverside. The office is located in the West building and is where most day-to-day operation is housed.
General Job Purpose:
Under the general direction of the Property Manager, the Rental Manager oversees the day-to-day rental operations of the SeaSpray Rental Program along with general office administration so that the needs of the Rental Program operations that serve the renters, owners, guests, and visitors are met.
Main Job Tasks and Responsibilities:
- Oversee office and housekeeping staff.
- Ensure quality reservations, confirmations, check ins/check outs of renters and guests
- Charging and collection of rents and payments
- Inspections and quality control of rental unit cleanliness, good repair, and function
- Financial, bookkeeping, data entry for both rental department and HOA
- Monthly reports, payments, and collections for HOA owner and rental accounts.
- Accounts Payable and Accounts Receivable for Rental Program and HOA
- Management of Association website and advertising
- Work with owners, vendors and/or maintenance staff to ensure repairs and services are completed as needed
- Provide reception services and general administrative assistance as needed and assigned
- Plan, schedule and supervise all Rental Program Staff tasks including, but not be limited to, inspections, purchases, reports, etc.
- Implement and maintain inventory control systems for Rental Program
- Prepare and present reports as directed by the Property Manager and Board of Directors
- Respond to owner and guest queries and requests. Assist in resolution.
- Follow all Association safety and security procedures.
- Attend Committee and Board meetings as required.
- Payroll and employee benefits management
Knowledge and Experience:
- Possess computer skills to proficiently work in a Windows based program environment with ability to learn and become proficient in all programs/software used to manage the Rental Program and administration of the Association
- Required to work in a supervisory capacity with staff and vendors
- Sufficiently skilled in human relations to perform in this capacity with reasonable success
- Sufficiently articulate to communicate Association policy, rules, and regulations to the owners and public
- Ability to assist Property Manager in preparing detailed, precise, written communications, reports, procedures, etc., as required
- Possess training, background, and experiences sufficient to satisfy the expectation described in this job description
- High school diploma or equivalent; Current CAM license or willingness to obtain CAM license within 90 days
- Physical stamina and mobility including ability to reach, kneel and bend
- Ability to speak, read and write English fluently

Additional Items:
- Work schedule is typically Monday – Friday during off season and Monday-Saturday during beach season (Memorial Day-Labor Day). These days are subject to change based upon scheduled holidays or special events, with notification from the Property Manager
- Typical work hours are 9:00 AM – 4:30 PM daily, but may flex somewhat based upon job demands or on-going projects.
- All job-related office equipment and supplies are owned by the Association. Such items will be procured and supplied by the Property Manager
- The Associations reserves the right to change or update this job description as needed
Job Type: Full-time
Pay: $46,000.00 - $50,000.00 per year
