Assistant College Registrar Job at Farmingdale State College
The Registrar's Office seeks an Assistant College Registrar. The ideal candidate has excellent organizational, administrative, communication, leadership, decision-making, critical thinking, detailed oriented and analytical skills.

Essential Duties and Responsibilities:
- Assist in supervising daily office functions which support the development of an inclusive, welcoming, and efficient work environment.
- Assist in supervising support staff. Solve complex issues for students, advisors, faculty and administrators.
- Will assist in overseeing the enrollment verification tracking process through the National Clearing House.
- Process and/or approve: registrations, withdrawals, grade changes, changes of personal information, emergency contacts, transcripts, enrollment/degree verifications, including veteran enrollment verification through VA-ONCE which incorporates entry of tuition and fees, report of W grades, and other veteran related information to Veteran's Administration.
- Serve as a School Certifying Official for VA Benefits. Prepare for VA audits.
- Manage the college-wide scheduling of classes.
- Lead implementer of scheduling software.
- Work with FSC department of International programs to create study abroad sections.
- Work with FSC University High School coordinator to create their schedule of classes.
- Assist with the preparation of the final exam schedule.
- Assist with end of term academic process which includes ensuring grades are entered by faculty in a timely manner.
- Process end of term withdrawals.
- Process "I" incomplete grade changes.
- Assist with training on topics such as orientation for new faculty and staff, BANNER9, FERPA.
- Assist with troubleshooting records, credits and degree audit issues.
- Technical support and troubleshooting along with informational support and guidance for students, advisors, faculty, administrators/counselors, Student Support Services, AAIC, Admissions, Financial Aid, HS Scholar's Program and University in High School.
- Assist with the maintenance of Registrar's records and destruction as per the SUNY Retention guidelines. Will also coordinate the scanning of documents.
- Provide outstanding customer services to students, faculty, administrators and the public.
- Provide back-up for phones and may assist with coverage of front desk.
- Knowledge of governmental regulations and laws for student privacy and rights for FERPA, Title IX, American Disabilities Act and Rehabilitation Acts, Solomon Act, NY State and any others that apply.
- Support the mission and goals of FSC in performance of job training events. Job training and skills development as needed through opportunities off-campus, webinars or courses.
- Collaboration is required to directly support Enrollment Management staff in Admissions, Bursar's and Financial Aid, as well as, other offices that support academics services for students. Service also includes students, faculty, administrators, the community and other institutions.
This position will change or expand as software and new technologies emerge. Special projects or new responsibilities may be assigned. Will be expected to complete tasks in a leadership capacity.

Job Requirements:
MINIMUM REQUIRED QUALIFICATIONS:
- Bachelor's Degree.
- Minimum 2 years of work experience in Higher Education. Direct experience working in the Registrar's Office or collaborate working experience with the Registrar's Office (should have knowledge of Registrar's Office services).
- Experience using a Student Information System.
- Experience using office software to include working with excel, preparing mail merges, and data entry.
- Knowledge of class scheduling process or scheduling software.
- Self-initiator, project experience and following through with tasks until goals are achieved, i.e. to include supervising and managing processes.
- Experience in assisting or supervising staff.
- Excellent organizational, administrative, communication, leadership, decision-making, critical thinking, detailed oriented and analytical skills.
- 3 years customer service experience in a fast pace environment, to also include communicating and enforcing policies and procedures.
- Knowledge of servicing veteran students.
- Knowledge of FERPA.
ADDITIONAL PREFERRED QUALIFICATIONS:
- Master's Degree.
- Experience implementing new software and technology.
- Experience using BANNER.
- Experience reviewing audits through DegreeWorks.
Additional Information:
This is a full-time UUP position.
- For the first 10 working days, beginning Friday, November 4, 2022 and ending Thursday, November 17, 2022, applications will be limited to UUP Farmingdale.
- CLOSING DATE FOR RECEIPT OF APPLICATIONS: Open Until Filled
- Salary: $58,000 + $3,026 in downstate location pay = $61,026 Total Annual Compensation. Salary may increase commensurate with experience.
