The Administrative Assistant is responsible for the day to day office administration of the General Manager which includes guest and business correspondence, file and account management, requisition administration, operational communications, and assistance with general Food and Beverage and Rooms office and correspondence administration as needed. The incumbent is authorized to take reasonable action necessary to carry out assigned duties and responsibilities, provided such action is consistent with position guidelines as outlined below or though the exercise of sound, reasonable judgment and initiative in the performance of job responsibilities. Position guidelines include, but are not limited to, established company and department policies and procedures and all supervisory directives. Summary of essential job functions 1. Handle and screen all incoming calls to the GM, and handle accordingly as per the guidelines set by the GM 2. Maintain and organize all files and accounts pertaining to the administration of the GM’s office 3. Handle all written correspondence as needed by the GM to include: a. Guest correspondence b. Business and legal correspondence c. Comment Card correspondence d. Internal correspondence as needed by the GM, Food and Beverage, and Rooms Directors 4. Manage and administrate the comment card program to include a. Timely delivery to all comment cards for review by the GM b. Immediate follow up of maintenance to physical problems noted c. Internal; distribution of cards to appropriate departments d. Employee recognition program for positive comments e. Written correspondence of all cards per direction of the GM f. Keep current statistics of comment card results 5. Create and process purchase requisitions as needed by the GM, Rooms, and Food and Beverage Directors 6. Track Rooms Expenses on a monthly basis 7. Assist GM in the proper tracking and follow up of maintenance requisitions 8. Work with the GM and Chief Engineer to properly track and manage PM program 9. Assist the GM in the proper administration and tracking of special projects, such as room renovations and hotel renovations 10. Assist the GM in establishment of a repeat guest recognition and tracking program 11. Assist the GM in the process of booking concerts and theatrical performances 12. Work with consultants, promoters, and booking agents for any performances 13. Assist the GM with community relations as needed, such as the United Way and the Chamber Educational/Experience Requirements 1. At least five years executive administrative experience 2. Specialized training or exposure to management issues and functions Abilities Required 1. Exceptional guest service skills 2. Ability to multitask 3. Friendly, outgoing personality 4. Basic knowledge of computer use required 5. Must be able to exercise sound judgment, be able to plan, and be well organized

Job Type: Full-time

Pay: $18.00 - $22.00 per hour
