Overview
BRICK is seeking an organized, driven, and adaptable candidate to join our growing Development Team in a crucial role for our fundraising success. The
Associate Director, Development Operations will be charged with the internal functions that support BRICK’s fundraising, including database management, gift entry & donor acknowledgment, fundraising reports, segmentation, prospect management, and donor research. This will include the dissemination of information through newsletters and other mediums.
This position partners with other development staff to ensure internal processes are well-defined and implemented successfully. This position also liaises with internal partners in Information Technology, Finance, and Programs to ensure seamless cross-functional reporting on programmatic and financial impact. This position reports to and works closely with the Director of Development, and will also have significant interaction with other senior staff, including the CEO.
This position offers work/life flexibility and may be remote or based in our Newark, NJ office.
Responsibilities
Database Management
- Create and maintain policies and systems for all development database functions; train development staff on the proper use of Salesforce; Create and update biographical and demographic data on constituent records
- Accurately enter donation data into Salesforce; generate receipts and acknowledgment letters for incoming gifts and payments; code constituents for mailing lists and report generation for cultivation and solicitation communications
- Perform monthly reconciliations with finance, and assist with annual audit procedures
- Track pledges and reporting requirements for gifts
- Oversee online donation process; manage credit card merchant processors and PCI compliance requirements
Prospect Management and Research
- Regularly review names to identify potential major prospects; research prospects to inform the cultivation and solicitation process
- Continuously monitor new foundation grant opportunities
- Oversee prospect tracking and reporting to ensure prospects are moved through the pipeline
Communications & Donor Relations
- Manage the acknowledgement process for all gifts, including from individuals, foundations, corporations, and donor advised funds
- Participates in and supports the execution of any donor-related events, which may include assisting with invitation lists, following up with invitees and participants, tracking responses, and supporting event execution and follow-up.
- Coordinates the execution of comprehensive annual donor communications & stewardship plan.
- In coordination with other staff, prepare donor-facing materials, such as emails, event invitations, and reports
- Serve as a point of contact for constituents regarding giving, volunteering, and event attendance
- Help design and execute volunteer opportunities for donors
Qualifications
- While we don’t expect candidates to have all of the below experience and attributes, the ideal candidate will possess most of the following:
- Bachelor’s degree or equivalent combination of education, training, and experience
- 3-5 years of experience in fundraising or nonprofits, or transferable experience
- Knowledge of relational databases, including experience in developing procedures and processes, including best practices for tracking and reporting. Preference will be given to candidates with knowledge of Salesforce Nonprofit Success Pack (NPSP).
- Experience in conducting prospect research and assessing wealth indicators
- Exceptional verbal and written communication skills, including composing and editing clear and effective materials; ability to work collaboratively with stakeholders inside the organization, as well as externally with donors, as necessary
- Advanced proficiency with Microsoft Office and/or Google Suites, especially spreadsheets, pivot tables, and data manipulation
- Strong attention to detail with ability to handle multiple tasks with humor and grace
- Understanding of and passion for BRICK’s mission
