An innovative and progressive company in the medical industry has an opening for an office administrator - managing clinic operations, patient experience, and various processes for our multi-specialty clinic located in Tampa, FL.

  • Proficient in Excel, Word, and Outlook, and ability to learn & effectively utilize other business systems. Prior EMR & CRM experience preferred.
  • Attention to detail and accuracy in all correspondence and records management
  • Highly organized with demonstrated time management skills
  • Experience in developing, implementing, improving processes and protocols for front desk operations, patient scheduling, sales & payment processing, patient communication, etc.
  • Strongly self-motivated, self-aware, and focused on continuous improvement
  • Interest in the health industry
  • Prior experience in a medical setting is preferred.
  • Available M-F between the hours of 8:00 am – 6:00 pm

Essential Duties & Responsibilities:

  • Assist and support sales team with follow-up on leads, finalizing contracts, tracking commissions, etc.
  • Manage credit applications as well as documenting and tracking in-house finance arrangements.
  • Processing and delivery of medical reports and records.
  • Bookkeeping (QuickBooks) and accounts payable functions.
  • Assist front desk in answering phones, patient check-in, data entry.
  • Adhere to policy and procedures at all times and perform all duties within HIPAA regulations.
  • Maintain confidentiality of all doctors, staff, and patient information use discretion while working with sensitive information.
  • Ensuring proper front desk staffing in clinic, as well as fill in when necessary.
  • Maintain a professional, relaxing, and inviting environment for our patients.
  • Ensure guests are greeted as they arrive & checked-in for their appointments.
  • Manage sales & payment processing.
  • Answer phones and schedule patients, including follow-up calls and appointment reminders.
  • Data entry and updating patient information.
  • Define & manage effective front office & back office processes and ensure continuous improvement.
  • Training & development of team.
  • Effectively mitigate issues and resolve discrepancies or problems.
  • Manage inbound and outbound mail.

Job Type: Full-time

Pay: $17.00 - $20.00 per hour
