Finance & Business Office Assistant
Notre Dame Seminary is seeking a full-time Finance and Business Office Assistant that will report to and work closely with the Business & Finance Director. The candidate must be professional, comfortable in a seminary office setting, dependable, highly organized, and detail oriented. This position is intended to be in training with potential advancement to the Business & Finance Director position.
Primary Responsibilities:
- Manage billing/invoices and payment tracking in QuickBooks for all outside events
- Coordinate billing, distribute invoices, and collect tuition payments for all lay students and dioceses
- Coordinate facilities contracts
- Assist with payroll and benefit tracking
- Assist with certain banking functions such as positive pay uploads
- Process accounts payable invoices and payments
- Assist with managing credit cards and upload transactions into Quickbooks
- Other duties as needed to assist the Business Manager, Rector's Office, and other departments
Skills and Education Requirements
- Bachelor's Degree in Business, Finance, Accounting or Management preferred
- Computer proficiency a must, including Microsoft Office (Word, Excel, and Outlook) and Google (Docs, Sheets, Calendar, etc.)
- Experience in QuickBooks accounting software preferred
- Experience with database management a plus
- Highly organized, detailed oriented person with ability to multi-task
- Works well independently
- Strong verbal and written communication skills
- Highly ethical, particularly in working with confidential and sensitive information
