Applications accepted until position is filled. Position Summary: The Snohomish Conservation District (the District) is hiring a Business and Operations Assistant. This entry level position will assist with a wide range of customer service, administrative, financial, and operational tasks in support of all District programs. Part of the District Operations team, this position will report to the Business Operations Director. This is a wonderful opportunity for someone who is a self-starter with strong customer service, organizational, financial, and operational skills to contribute to the goals of the District.About the Snohomish Conservation DistrictOne of 45 Conservation Districts in the State of Washington, the Snohomish Conservation District is a leader among peers with robust programs encompassing agricultural resilience, habitat restoration, urban stormwater, farm planning, youth education, community engagement and more. The District works with farmers, residents, and landowners on a collaborative and voluntary basis throughout our service area that includes Snohomish County and Camano Island. We take the mission of the District to heart - “work cooperatively with others to promote and encourage conservation and responsible use of natural resources” - as we implement successful and innovative projects.

EXAMPLE OF DUTIES
Essential TasksThese are illustrations of the various types of work performed. Office Management and Operations (50%)Serve as a first point of contact for Snohomish Conservation District external customers by receiving and triaging all incoming requests for site visits and general information, including email and phone calls. Assist with facilities and office space management, organize and inventory District supplies and materials. Coordinate orders for supplies, machinery, and/or facility needs.Assist with staff meeting and internal event arrangementsCoordinate fleet management, including monitoring usage; scheduling servicing; record-keeping; and coordinating incident reporting and insurance claims.Assist IT Coordinator to maintain operation of office and IT equipment (e.g., printers, scanners, loaner devices).Receive, scan, distribute mail and packages. Complete outgoing mailings for finance and/or project teams. Finance (40%)Assist in processing payables and receivables, including gathering and reviewing supporting documentation, preparing check runs, and depositing checks.Prepare and submit grant billings to funding agencies. Assist in preparing materials for monthly Board meetings, annual reports, and audits.Assist with financial and other paperwork related to development of a new office site.Review financial documentation according to established processes.Complete data entry into accounting, project management computer systems, and/or excel. Other (10%)Assist with onboarding and offboarding, processing HR-related paperwork, and maintaining personnel files. Complete electronic file organization tasks, including scanning, and renaming.Assist in preparing and maintaining District records for retention based on state schedule.Perform other related duties as required or assigned.

MINIMUM QUALIFICATIONS
Required knowledge, skills, and abilitiesAn Associate’s or Bachelor’s degree in public, non-profit, or business administration, finance, accounting, or related field; and two years of relevant professional experience. Experience in the job functions listed may substitute for education. Be personable and approachable. Able to communicate effectively and professionally verbally and in writing with private landowners, project partners, community members, and co-workers.Experience in a public-facing customer service-oriented position. Committed to a customer-centric approach with both internal colleagues and the public.Ability to accurately complete multi-step tasks following specific instructions.Highly dependable and accountable to deadlines and team members. Able to work collaboratively to accomplish shared tasks and support program staff. Strong attention to detail and accuracy. Good computation skills and comfort working with numbers, including ability to problem-solve.Proactive self-starter able to work without direct supervision.Strong aptitude for digital technology. Ability to quickly become proficient in new software. Experience required with Microsoft and Google Workspace tools, including Word, Excel, Google Docs, and Google Sheets.Proven effectiveness in managing competing priorities, with the ability to organize and coordinate work efficiently, prioritize workload, and adapt to changing priorities. Preferred knowledge, skills, and abilitiesExperience with payroll, accounts payable, accounts receivable, local government accounting, and/or general accounting principles.Knowledge about the policies and practices of conservation districts.Able to help create clear processes, tools, and instructions.Knowledge of and/or experience providing Human Resources support to staff.Experience with records management procedures and requirements.Physical Requirements and Working ConditionsThis position is primarily office-based, with frequent travel between the District’s two primary work places. This position requires the ability to: Operate a computer almost constantly throughout a standard workday.Sit or stand for long periods of time in a standard workday.Occasionally lift, pull, carry, push up to 40lbs, and to bend, twist, squat, kneel/crawl, and reach overhead.Occasionally work beyond an 8:00 am – 5:00 pm schedule or on the weekend.Drive a vehicle when travel is needed. Must hold a valid, unrestricted Washington State driver’s license (or have the ability to acquire upon hire).Comply with District COVID protection protocols, including being fully vaccinated and providing documentation of vaccination status.
