Under direction of the Manager of Group Learning, this position provides administrative and logistical support for group guided visits, collection training, and school partnership logistics of volunteer guides at the Museum of Fine Arts, Boston (MFA). Primary responsibilities include scheduling volunteer guides for guided visits for school and adult programs; managing course registration and supporting training-related communications with the volunteers; collaborating with school programs staff on ongoing projects; communicating with teachers, faculty, and other partners; collaborating with other staff to help lay the groundwork for positive group experiences for school and adult programs; and liaising with MVS Group Experience staff, in support of the Museum’s efforts and commitment to Inclusion, Diversity, Equity, Access) (IDEA) values.


Essential Functions:

  • Communicating and coordinating scheduling logistics with MFA volunteer guides for guided school and adult programs
  • Scheduling for digital and on-site collection and gallery teaching training and for volunteer guides to support school and adult programs
  • Communicating and coordinating with external partners, such as Boston Public Schools, including curricular, logistical, and technological needs
  • Maintaining data management systems for volunteer guide scheduling, and data tracking
  • Preparing and analyzing data to inform future planning and annual assessment of program offerings
  • Supporting training and program evaluation by distributing and tracking data from program evaluation
  • Processing bus fund applications for on-site programming
  • Performing other duties as required or directed


Requirements and Qualifications:

  • Bachelor's or Associate’s degree, or equivalent experience
  • 1-3 years’ administrative work experience required in a fast-paced office setting
  • Demonstrated superior organizational skills, including the ability to work independently on detailed projects with accuracy and excellent follow-through
  • Bilingual language skills desired; Spanish, Chinese, Krèyol (Haitian Creole), or Portuguese language skills a plus
  • Ability to manage multiple projects at once with the ability to prioritize tasks in a fast-paced environment while maintaining high standards
  • Excellent interpersonal skills and ability to work with a range of external and internal stakeholders
  • Ability to problem solve strategically to address individual situations while considering the broader impact of solutions
  • Ability to maintain focus for extended periods in a noisy public environment, with tolerance for interruptions and shifting priorities
  • Ability to move materials throughout the building consistently for up to three hours, weighing from 5lbs and up to 25lbs.
  • Must be able to work occasional evenings and weekends.

Salary and Schedule:

Full-Time Salary, 35 hours per week

Annual Salary: $45,070
