A Flexible Work Arrangement may be available for this position in mutual agreement with the President and CEO.
Position Summary
Reporting to the President and CEO, the Director of Board Relations facilitates the work of the Board of Trustees, managing all aspects of the Board’s workflow, tracking the status of policy and other action items that require Board review, coordinating the passage of those items through the Board’s governance structure, and overseeing follow-up communications from the President’s Office regarding Board decisions. The Director of Board Relations will oversee institutional communications with the Board and serve as the primary liaison between the Board and other internal and external constituencies of the college. The Director of Board Relations will develop and oversee a comprehensive board engagement plan to help strengthen the Board’s overall effectiveness and be a close partner to the Vice President of Development & Alumni Relations on Board giving.
Duties and Responsibilities
- Direct the Board’s workflow in collaboration with the college officers who staff Board standing committees. Serving as a key contact to trustees, oversee the coordinating of scheduling of Board and Board standing committee meetings in partnership with the lead staff and administrators and their assistants, and coordinate development of agendas for those meetings to facilitate timely and informed review and decision-making by the Board. Coordinate follow-up communications from the President’s Office to appropriate internal and external constituencies regarding actions taken by the Board.
- Coordinate with and/or help manage staff who may assist in board meeting and event logistics and special projects for the President’s Office.
- Oversee the preparation and timely distribution of agendas and supporting materials for Board and Board standing committee meetings and of other materials for trustee review as appropriate, and ensure that the online board portal remains up to date with all needed board materials.
- Plan and oversee the logistical arrangements – space and facilities needs, meals and refreshments, supplies, media equipment – for meetings of the Board and the Board’s Committees.
- Manage the institutional budget for Board operations.
- Track statistical and other information about the Board – trustee attendance at Board meetings, trustee standing committee membership, trustee terms, the Board’s demographic profile, etc.
- Oversee the collection and submission of information about the Board for government reports and professional association surveys.
- In collaboration with the Development & Alumni Relations office, maintain trustee giving records and related records in the Blackbaud/ Raiser’s Edge shared-access database
- Oversee the preparation and distribution of Board documents (including meeting minutes), lists, and publications, including the annual Board directory. Oversee the compilation of Board archival materials for the College archives.
- Collect, update, and communicate information about campus events to trustees to facilitate their involvement, participation, and attendance. Develop a comprehensive annual board engagement plan.
- In collaboration with the President, the President’s Chief of Staff, the Board chair, and the Governance Committee chair, develop and implement an orientation program for new trustees.
- Develop policies and practices to facilitate timely and effective communications and information sharing with, and within, the Board, and among college offices that support the work of the Board.
- Develop, implement, and analyze regular surveys of the board for purposes of engagement, strategy, giving, and board continuity.
- Serve as the primary staff liaison to the Faculty Representative to the Board and the Student Representative to the Board. In collaboration with the Board’s Governance Committee and other campus offices, oversee the process for nominating and electing the Faculty Representative and Student Representative.
- Facilitate and coordinate trustee participation in the college’s annual Commencement exercises.
- Review, recommend, and implement web-based and other technological solutions to facilitate the work of the Board, including communications, document access, and records archiving. Manage business relationships with outside vendors whose products or services support the Board’s work.
- Maintain familiarity with the Board by-laws and manual to ensure the Board’s compliance with its own policies and with best practices in board governance. Facilitate periodic reviews of Board by-laws and other Board policies as appropriate.
- Maintain working knowledge of best practices in board governance by attending board development conferences and seminars sponsored by the AGB (Association of Governing Boards of Colleges and Universities) as appropriate.
- Perform other related duties and/or responsibilities as assigned or required.
Qualifications
- Bachelor’s degree
- 6 - 8 years of relevant experience required.
- Excellent organizational and administrative skills, and a demonstrated ability to balance competing priorities, accomplish objectives, and meet deadlines.
- An ability to exercise a high level of professionalism, judgment, and above all, discretion and confidentiality, particularly regarding information about individual trustees.
- Excellent communications skills, and an ability to interact respectfully with diverse individuals.
- Strong interpersonal skills, and an ability to collaborate and build partnerships with other offices in support of shared objectives.
- A facility with information technology, and a willingness to explore and learn new technological solutions that can be used to facilitate Board meeting planning, event planning, communications, and the work of the Board generally.
- Ability to drive cultural change within an institution through leadership, creativity, and a focus on setting goals and achieving results.
- Willingness to work some evenings and weekends as needed.
- An understanding of the characteristics, best practices, and staff support needs of a volunteer board.
- A commitment to higher education, diversity, and the furtherance of creative practice in society.
