General Description

The Director of Finance and Operations provides leadership and management of the business and facilities operations of the school and is responsible for oversight of the Finance Office and physical facilities. The Director of Finance and Operations provides direction and guidance to the school’s Leadership Team, Enrollment Management Team, Advisory Council and various school departments and committees. This position is responsible directly to the school’s President and is a member of the school’s Leadership Team.

Essential Functions

  • Budget Planning & Reporting: Plays a key role in the development of the annual operating budget including tuition and fees, multi-year forecasts and other relevant reports. Communicates regularly with and provides financial reporting to school’s Finance Committee, Diocese of St. Petersburg (DOSP) Finance Council, school’s Leadership Team, and school’s Advisory Council.
  • Strategic Partnership: Collaborates with the school’s Leadership Team, DOSP Finance Committee, and school’s Advisory Council to secure and deploy financial resources to fulfill strategic priorities. Participates in the development of school strategy, providing recommendation, financial analysis, projections, and other data to inform process.
  • Financial Oversight and Integrity: Maintain financial controls, capital acquisitions, payroll processing. Oversee the school’s endowment reporting and ensure that donor intent is being met.
  • Business Operations: Lead the organization and management of the Business Office including accounting, accounts payable, accounts receivable (tuition and fees), cash management, account reconciliations, purchasing, budgeting, financial reporting, human resources, payroll, employee relations, and benefits. Following Diocese procedures and coordination with appropriate Diocese personnel, oversee legal issues, risk management, insurance, and retention of all financial documents and data.
  • Facilities and Safety: Supervise the Director of Facilities and oversee facilities management, including building repairs, construction, security, janitorial, and careful planning to ensure planned multi-year support for all buildings and grounds. Identifies and manages major facilities projects (construction, renovation, deferred maintenance, etc.) and ensures proper procedures for DOSP approval when necessary.
  • Collaboration with Key Departments: Is a member of the school’s Leadership Team and Advisory Council. Work with Enrollment Management to create student contracts and generate financial reports for enrollment and retention and chairs the Financial Assistance Committee to analyze applicant needs and assist in the management of financial assistance administration. Work closely with the Director of Advancement to establish fundraising goals and to maintain appropriate records for donations and pledges. Interfaces will all other departments regarding financial interests including security of assets, inter-department paper flow, and financial reporting.
  • Audit and Regulatory Compliance: Prepare necessary documentation for successful completion of audits including those required by the State of Florida for state funds received (Step-up for Students, Family Empowerment, etc.). Ensure that all school, personnel, and operational policies are in compliance with local, state and federal regulations.
  • Supporting a Positive School Community: Model and foster high ethical standards, integrity, and respect for colleagues, alumni, parents, and students in the conduct of the school’s business. Understand the culture and climate of the school and the wider educational environment. Manage, mentor, and develop direct reports, providing constructive and timely feedback.

Essential Skills and Qualifications

  • Bachelor’s degree in accounting preferred, degree in business administration or finance may be considered.
  • Should have ten (10) years’ leadership experience and a varied background with multiple responsibilities in finance, operations, and facilities. Previous responsibilities for construction highly desired.
  • Advanced skillset needed in critical thinking, problem solving, communications, project management, data analysis, spreadsheet software, and proficiency with accounting and financial systems. Strong experience with database management systems.
  • Proven track record of organization improvement and change management. Can adapt to a hands-on, detail oriented, fast paced work environment.
  • Successful completion of a Level II background check before employment can commence and completion of Training for Supervision of Children and Vulnerable Adults within 90 days of employment is required.
