DISTRICT REGISTRAR, Part-time

Monday-Friday, 5.5 hours/day, 12-month work calendar

Salary range: $2,632.88 - $3,357.32 per month, dependent on experience

Brief Description of Position: Under the supervision of a District Office administrator, the registrar performs a variety of specialized and complex clerical work, and maintains records and files pertaining to student registration and enrollment.

Qualifications:

1. Previous Experience: Minimum of three (3) years of clerical experience is expected, preferably in a school setting. However, any combination of education, training and/or experience, which demonstrates that the applicant is likely to possess the required skills, knowledge, and abilities, may be considered. Working knowledge of computers, data input and word processing is required.

2. Education: Graduation from high school, supplemented by college-level coursework in business administration, statistics or related field.

Work Calendar: The registrar works Monday through Friday over all twelve months for 5.5 hours per day at the District Office. Work hours are expected to be 8:00 a.m. – 2:00 p.m., which includes a half hour of unpaid, duty-free lunch break. Additional work hours will likely be needed during peak registration season (February through August). The chosen candidate will begin on Monday, November 28, 2022 or as soon as clearance is obtained for a background check and tuberculosis assessment. Classified employees must pass a six-month probationary period to become permanent employees of the District or to become permanent in the position, if already an employee of the District.

Salary: Placement on classified salary range 29 is dependent on training and experience related to this specific position. The starting wage range is $2,632.88 - $3,357.32 per month, which is commensurate to $22.09 - $28.17 per hour. Paychecks are issued twice a month, on the 10th and 25th of the month.

Benefits: This position is eligible to participate in the District’s medical benefit plans. Currently the District’s maximum contribution to an employee’s benefits package is $18,034 per year. Premiums for a part-time employee are prorated based on the employee’s full-time equivalent (FTE) percentage, which for this position is 0.6875 FTE (68.75% of a full-time position).

2. After the screening of all applications, selected candidates will be contacted regarding a personal interview with an interview panel.

3. The same selected candidates may be required to take and pass a technology skills test covering the basic functions of word processing, spreadsheet building, Google docs and sheets, etc. The test may be scheduled before or on the same day as the interviews. Test scores, as well as performance in the interviews, will be considered when selecting finalists.

Major Duties and Responsibilities:

Examples of duties and responsibilities may include, but are not limited to:

  • Maintains confidential physical and computerized files, documents, and student records for the purpose of documenting and/or providing reliable information relative to student records.
  • Performs registration, enrollment and unenrollment activities, including residency verification, entering student data into the student information system, requesting transcripts and records from other schools, and setting up cumulative folders.
  • Explains registration and enrollment processes to new resident parents/guardians and effectively responds to questions.
  • Explains the permit application process to non-resident families and effectively responds to questions.
  • Prepares and maintains permanent student records and cumulative folders for students.
  • Processes requests to provide information from staff, students, parents/guardians, other districts, colleges/universities, and/or employment agencies (e.g. transcripts, job verification, etc.).
  • Assists counselors with enrollment, withdrawals, and transfer of students as needed.
  • Provides office reception and clerical support.
  • Compiles and distributes a variety of reports, memos, and letters as requested.
  • Changes students’ programs as needed in computer.
  • Identifies and corrects record discrepancies.
  • Adds or deletes site course sections and titles as directed.
  • Contributes to the production of annual master courses, titles and sections and programs as needed.
  • Maintains updated list of teacher identification numbers and course sections and titles.
  • Distributes and proofreads verification and scan sheets for changes, omissions and program information.
  • Serves as a resource to employees, parents, and/or organizations for the purpose of interpreting and conveying appropriate procedures required for district operations.
  • Operates office equipment and machines.
  • Updates family information in all related files.
  • Collects statistical data for CBEDS and enrollment reports.
  • Performs duties in related areas as required.

Must Have Knowledge of:

  • Correct English usage, spelling, grammar, punctuation and composition.
  • Office organization, procedures and practices.
  • Numerical, alphabetical and subject matter filing systems.
  • Methods used in preparing statistical reports.
  • District policies, rules and regulations.
  • Methods, techniques and procedures related to input and output of a computer-based records management system.
  • Operation of standard office equipment.
  • Education Code sections relating to records retention.

  • Work effectively and efficiently with all levels of District personnel, students, parents and the public.
  • Perform a variety of complex clerical work involving use of independent judgement.

  • Compile and prepare complex and accurate reports.

Physical Requirements:

Primary functions require:

  • Sufficient strength, agility and dexterity to perform all essential tasks.
