Here’s what you can expect in the role as a Document Custody and Release Specialist:
The Document Custody and Release Specialist position exists to assist the Supervisor, Senior, and team members by administering daily routine operations to ensure that assignments are completed in a thorough, accurate, and timely manner.
Job Duties:

  • Ensures that incoming and outgoing collateral documents are distributed timely.
  • Assigns investor changes daily.
  • Completes and ensures accuracy and compliance of offsite document requests.
  • Communicates regularly with customers and business partners including offsite document custodians (US Bank, Bank of New York Mellon, Wells Fargo) and Silverton Mortgage to ensure all documents are received, released and correct.
  • Constructs and assigns the spreadsheet used to audit pool loans.
  • Works with Investor Reporting to send documents monthly to clear outstanding exceptions for GNMA pools.
  • Completes and ensures accuracy and compliance of offsite documents requests per GNMA and FNMA guidelines.
  • Administers the organization and shipping of pool files, trailing documents, and return of documents to document custodians.
  • Assists with MERS daily reports and monthly data reconciliation.
  • Administers assignment of rejections and maintains rejections spreadsheet.
  • Assists both teams with their daily tasks as needed.
  • Ensures updates are made to documents as requested.
  • Ensures that incoming and outgoing collateral documents are distributed timely.
  • Cross trains and supports all positions within the department including lien releases, assignments and UCC filings.
  • Performs other duties as assigned.

What you’ll need to qualify:

  • High School Diploma or Equivalent required. College degree preferred.
  • Leadership experience a plus.
  • Proficiency in Word and Excel to include formulas and features.
  • Ability to communicate effectively via phone, email and person-to-person.
  • Ability to work flexible hours and have an excellent attendance record.
  • Knowledge of loan documents, loan auditing, and imaging systems a plus.
  • Self-motivated, dependable, ability to prioritize, and multi-task.
  • Must be detail oriented with good organizational, math, alphabetizing, and problem-solving skills.
  • Willingness to cross train.
  • Ability to work in a team environment.

  • Must be able to remain in a stationary position 75% of the time.
  • Will constantly operate a computer and other devices, such as a telephone and multi-functional copy, scan, fax and print equipment.
  • Will constantly utilize communication methods and tools including phone, email and other applications, such as Zoom and Microsoft Teams to interact with team members, customers and leaders.
  • Must be ale to lift and/or move up to 40 pounds.
  • Must be able to stand, stoop, bend, and reach with hands and arms to navigate rolling shelves.
  • Will constantly work in an indoor temperature controlled, sealed window office environment.
