POSITION: EMIS Assistant/Attendance Officer
GENERAL DESCRIPTION:
The employee will work with the EMIS Coordinator to implement and maintain EMIS databases, provide support and assistance to various district departments and buildings, and perform registrar functions. The employee will enforce the compulsory attendance laws of Ohio by preparing and presenting cases to the courts for legal consideration and will strive to prevent unnecessary absences through constructive work efforts with pupils, parents and school personnel.
QUALIFICATIONS:
- Must be at least eighteen (18) years of age.
- Must possess a minimum of a high school diploma or equivalent.
- Must have the ability to communicate with courtesy and tact with students, parents, district staff and the general public, both orally and in writing.
- Must possess strong organization and computer skills. Ability to work successfully with Microsoft Word, Excel and student data software applications.
- Ability to understand and interpret the Ohio Revised Code and the Ohio Department of Education requirements regarding school enrollment and attendance laws.
- Knowledge of, or the ability to learn the legal system including juvenile and municipal court protocols.
- Ability to manage large amounts of data from different sources with attention to detail.
- Ability to adapt to a continually changing environment.
- Ability to work flexible hours including evenings and weekends as needed.
- Willingness to work as a team member.
- Commitment to the highest personal and professional standard.
- History of good job attendance.
- Ability to maintain a high level of confidentiality.
- Physical ability to perform all essential functions of the position.
- Bending, lifting, twisting and repetitive motion required.
- Ability to lift up to 50 lbs.
- Valid Driver’s license and access to personal vehicle.
- Must pass criminal background checks, be free from communicable disease
ESSENTIAL FUNCTIONS:
- Fosters positive, productive and friendly working relationships with coworkers, parents, building staff, and others for the purpose of providing high quality and efficient customer service.
- Works cooperatively with parents, families, building staff, outside districts and others regarding student registration and student attendance.
- Skillfully corresponds with families regarding custody, residency, and attendance/truancy issues.
- Performs address checks and verify district residences.
- Enters and maintains accurate student data for the district.
- Serves as a resource on truancy law (HB410) and point of contact for district staff.
- Obtains and tracks documentation for district students who are excused from compulsory attendance due to homeschooling.
- Issues court citations and legal action against students and/or parents, and represent the district in court.
- Works collaboratively with school personnel to develop and monitor the absence intervention plans put in place for students who meet the habitual truancy criteria.
- Implements absence intervention plans for students.
- Works effectively with court personnel and Children Services.
- Notifies administrator or designee at the school of social problems which are affecting student attendance in order to connect the student with appropriate support staff.
- Completes record keeping in compliance with established policies and procedures.
- Plans and organize own work to meet deadlines.
- Participates in department meetings, in-service trainings, and workshops as required by the administrator.
- Adheres to federal, state, and local guidelines, board policies and procedures.
- Performs other duties as assigned.
OTHER DUTIES AND FUNCTIONS:
- To serve as a role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings.
- To help instill in students the belief in and practice of ethical principles and democratic values.
KNOWLEDGE, SKILLS AND ABILITIES:
Knowledge of: Board policies and procedures, building policies and procedures, public relations, and state and federal reporting.
Ability to: Interpret policies and procedures, follow instructions, communicate effectively, maintain files and reports, collect data; schedule; and lift moderate amounts of weight.
Skill in: Basic math, English and communications.
EQUIPMENT OPERATED:
Customary office equipment.
ADDITIONAL WORKING CONDITIONS:
- Ability to travel to multiple locations in the course of a workday and in inclement weather.
- Potential occasional exposure to blood and/or other bodily fluids, chemicals and fumes.
- Possible interaction with unruly students and/or adults.
- Exposure to unruly children/adults, blood, bodily fluids and tissue.
TERMS OF EMPLOYMENT:
Salary and work year as established by the Governing Board. The employee shall remain free of any alcohol or non - prescribed controlled substance use in the workplace throughout his/her employment in the District.
EVALUATION:
Performance of this position will be evaluated in accordance with provisions of the Board’s policy on Evaluation of Support Personnel.
STARTING DATE: As soon as possible
SALARY: $40,000 - $45,000 based on experience and education
BENEFITS: Excellent benefit package offered to all full time employees
WORK YEAR: Full time – 230 days
