Position: Employee Benefits Specialist
Schedule: 40 hours/52 weeks per year
Unit: 4230 Miscellaneous/Salaried with benefits
Starting wage – $55K (salary commensurate with experience)
Position Purpose: The employee benefits specialist is responsible for the coordination and administration of all employee benefits including, but not limited to medical, dental, vision, life insurance, short- and long-term disability, FMLA, ACA reporting and workers compensation. The coordinator plays an instrumental role in the coordination of data between the Human Resources and Business office.
Essential Functions:
- Plan, organize and direct the activities related to group health, group life, FMLA, ACA reporting, worker’s compensation, dental, vision, flexible and fringe benefits.
- Facilitate training in the understanding and utilization of employee benefits information through open enrollment process.
- Assist employees through online benefits enrollment system as needed.
- Maintain and process benefits for newly hired employees and changes for existing employees.
- Assist payroll with new deduction/contribution reports as needed.
- Coordinate workflow and procedures between Human Resources, Employee Benefits and Payroll.
- Acting as liaison between Employee Benefits, other departments and schools.
- Develop and maintain a system of procedures to administer the employee fringe benefits program.
- Act as a liaison between all health plan representatives and employee benefits.
- Prepare and develop communication and educational materials regarding the benefits package for all the insured employees.
- Review performance agreements with the flexible benefit plan administrator and participating as the client performance team member, when applicable.
- Collaborate with the Business office to process cash payments in lieu of health coverage to staff.
- Maintain records and coordinate billing with the accounting department for COBRA accounts.
- Process all employee leave requests, FMLA, Medical leave, Short- and Long-Term disability and workers compensation in accordance with employee agreements and other compliance guidelines.
- Assist Human Resource team with tasks such as preparation of reports for negotiations and program development, as directed by the Executive Director.
- Determine work procedures, prepare work schedules and expedite workflow.
Additional Duties: Performs other related tasks as assigned by the Executive Director of Human Resources and other administrators as designated by the Superintendent.

Equipment: Use standard office equipment such as personal computers, printer, copier and fax machines, and telephone.
Travel Requirements: Travel to school district buildings.
Knowledge, Skills and Abilities:
- Ability to operate a personal computer and related software including: Microsoft Office Suite and other district related software.
- Ability to develop effective working relationships with students, staff and the school community.
- Ability to communicate clearly and concisely, both orally and in writing.
- Ability to perform duties with awareness of all district requirements, Board of Education policies, and applicable guidelines.
- Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from groups of managers, employees, business representatives, and the general public.
- Ability to work with mathematical concepts such as probability and statistical inference, and fundamentals of accounting.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations. Basic accounting skills necessary.
- Ability to maintain confidentiality.
- Ability to deal with problems involving several concrete variables in standardized situations.
- Ability to work in an economically, culturally, and racially diverse environment.
- Demonstrated good attendance and punctuality.
Qualifications:
- Bachelor’s degree or relevant field required.
- Three years of related experience with benefits administration.
- Experience working in an educational setting, preferred.

- Work Environment: The noise level in the work environment is usually loud to moderate.
- Mental Functions: While performing the duties of this job, the employee is required to compare, analyze, communicate both orally and in writing, copy, coordinate, instruct, compute, synthesize, evaluate, use interpersonal skills, compile and negotiate.
