Event & Reservation Specialist - East Lansing Parks, Recreation & Arts Job at City of East Lansing
The Event & Reservation Specialist, under the supervision of the Guest Services & Accounts Coordinator, is an integral team member, contributing to the friendly, efficient, and effective delivery of services to our community. Responsible for Hannah Community Center reservations and event planning, the Event & Reservation Specialist coordinates and implements the scheduling of facility rentals and events, interfacing and assisting the diverse range of users with their facility and event planning needs. Additionally, responsibilities may include seasonal reservations for Patriarche Park Pavilion and the East Lansing Family Aquatic Center. This position provides increased leadership capacity within the Guest Services & Accounts division, and assists on an as-needed basis with additional Parks, Recreation & Arts divisions.
Duties and Responsibilities:
- Coordinate all details of facility rentals for internal and external customers
- Communicate all reservation set up needs, provide accurate invoicing and reservation tracking
- Conduct facility tours for potential rental reservations and respond to all inquiries
- Manage invoicing of services, maintain accurate financial records, participate in budget request process
- Assist with marketing and promotion of facilities and events
- Establish positive and effective working relationships with public and with internal customers

Special Requirements
- Customer services best practices; hospitality, reservation, and/or booking experience
- Event or festival planning, volunteer recruitment, marketing/advertising, and/or extensive customer service
- Ability to work flexible schedule that can include nights and weekends
- 4-year degree preferred; equivalent experience may be considered
- 1-2 years of experience working directly with public, and ability to demonstrate increased responsibility
- Microsoft Office Suite, required; Adobe Creative Suite, preferred
- Strong leadership, organizational and/or administrative experience
