Position Summary
The Events Office Support Specialist is the main scheduler and billing agent for events in Parks, processes permits, provide facility tours, process payments, and invoices for park rental facilities. In addition, this position is the subject matter expert and the go to person related to events software system, asset essentials, and related equipment.
QUALIFICATIONS FOR PERFORMANCE OF THE ESSENTIAL FUNCTIONS
REQUIRED EDUCATION AND EXPERIENCE:
- Three years of administrative support experience including strong customer service experience preferably supporting events (facility/venues or hospitality industry); OR
- Any equivalent combination of experience and education that provides the applicant with the desired knowledge, skills and ability required to perform the work.
- Experience working for a government agency in a parks and recreation department.
- One year of experience administratively supporting events, including obtaining proper permitting, facility rentals and processing payments.
- Events Management Software
- Strong proofreading and grammar skills.
- Strong computer and relevant software background; including MS Office Suite, Event Manager software - and the ability to run reports and perform at the administrator level, and the Adobe suite including photoshop.
- Strong customer service skills.
- Strong verbal and written communication skills including proof reading, grammar, and punctuation.
- Solid organization and prioritization skills.
- Strong interpersonal and team player skills.
- Ability to multitask and remain calm in stressful situations.
- Ability to work long and irregular hours, weekends, and evenings
- Basic knowledge of audio-visual equipment, internet, telecommunication technology - preferred
- Adaptable and able to learn new skills and tasks efficiently
- Open to constructive feedback

The incumbent is responsible for obtaining and maintaining all the following required licenses, certifications and other requirements.
Prior to employment, the successful candidate must:
- Submit official transcripts from an accredited college or university or business school, if education is being used to meet the minimum qualifications.
- Pass all job-related examinations/tests necessary to demonstrate required knowledge, skills and abilities, as determined by the hiring authority at time of job posting.

- The duties in this position are performed in an office/facilities setting and may have some work in the field, and may be required to lift at least 20 pounds.
ILLUSTRATIVE EXAMPLE OF DUTIES
In this role, you will have the opportunity to:
Greet and welcome customers as they approach the front desk with a positive and helpful attitude- Answer questions and address concerns
- Answer all incoming calls and redirect them or keep messages
- Check, sort, reply, and forward emails
- Assist with a variety of administrative tasks including copying, faxing, taking notes, and making travel plans.
- Prepare meeting and training rooms; take meeting notes when applicable.
- Answer phones in a professional manner, and rout calls as necessary.
- Assist all parks staff with administrative tasks.
- Monitor office supplies and place orders when necessary
- Keep updated records and files
- Take up other duties as assigned (travel arrangements, printing assignments, etc.)
- Create reports, work in databases, MS Office Suite, Adobe, SharePoint, and other software programs.
- Provides essential office support through the coordination of mail pick-up and delivery.
- Prepare outgoing mail by drafting correspondence, securing parcels etc.
- Support the events team with logistical and administrative support
- Conduct site tours
- Answer questions and address event concerns
- Schedule and confirm event requests
- Process event payments when necessary
- Communicate pertinent event information both externally and internally
- Gain the necessary approvals internally and externally for all events.
- Other duties as assigned.

Employees may carry over 360 hours from one calendar year to the next. Annual leave accrual will increase upon tenure, as follows:
Upon completion of 3 years: 15 days per year (10.00 hours per month)
Upon completion of 5 years: 20 days per year (13.33 hours per month)
Upon completion of 10 years: 25 days per year (16.67 hours per month)
Sick Leave
All new hires will be credited with 48 hours of sick leave upon hire and will begin accruing at the rate of 8 hours per month starting on their 7th month of employment. Employees may carry over 1200 hours from one calendar year to the next.
