What You Will Do:
Responsibilities of this position will include:
  • Direct Support to the Executive
  • Proactively support a leader’s strategic priorities: helping a leader identify the areas where they must direct their focus and identifying metrics for success. Revisiting regularly and evaluating progress.
  • Meeting preparation and follow up: reviewing upcoming meetings for the week to ensure the leader has all of the information needed to be as productive as possible. Send out agendas or documents to meeting attendees as necessary. Take meeting notes and track meeting action items.
  • Manage internal and external communications: writing first drafts of decks, emails, documents etc. for the Executive.
  • Help complete priority items for the Executive to an appropriate level of quality.
  • Keep the Executive accountable for commitments, while helping keep direct reports accountable for results.
  • Meeting & Event Preparation
  • Managing the meeting cadence for the Executive, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
  • Project Management
  • Tracking high priority initiatives for the Executive, identifying any obstacles and facilitating resolution.
  • Strategic Initiatives
  • Providing decision support through data gathering, information analyzing, and presenting considerations to relevant stakeholders.
  • Identifying and participating in certain strategic national projects (e.g., ABIDE).
  • Help coordinate business-wide procedures and work to improve existing processes for maximum clarity, efficiency, and success.
  • Team Management
  • Work with leaders on various cross-functional tasks/projects
  • Act as a central source of information.
  • Help align leaders on internal processes.
  • Coordinates schedules, visitors, telephone calls, meetings, deadlines and presentations to ensure the executive office functions seamlessly. Maintains executive office calendar.
  • Oversees scheduling, catering, document preparation and distribution for meetings and conference calls for the ERP Project
  • Schedules and coordinates management meetings, conferences, special events, and travel arrangements.
  • Prepares and develops documents, presentations, and supporting materials to support the project and related functional area
  • Manages the meeting cadence for ERP team meetings, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
  • Track high-priority initiatives and identify any obstacles and facilitate resolution.
  • Work across teams to prepare briefings and compile research for meetings with partners and key leaders (e.g. identify goals and talking points, provide background on attendees, etc.) and direct follow-ups.
  • Maintain established calendar expectations, including but not limited to:
  • Ensuring accurate scheduling and prioritization.
  • Requiring meeting agendas ahead of confirming meeting acceptance.

Team Management
  • Work with leaders on various cross-functional projects to support progress on priority work streams, build decision-making frameworks & deliverables
  • Serve as a central source of information.
  • Help align leaders on internal processes.

Requirements:
  • 5+ years of experience organizing and managing senior executives in complex sets of responsibilities and relationships, preferably in large, matrixed, multi-site organization.
  • Partially remote to the St. Louis Missouri area
  • Travel expectation 40-50%
  • Must have experience using Slack, Asana, and Google Tables
  • Proficiency with G Suite products.
  • Possess a Bachelor’s degree, Business Management or related field preferred.
  • Strong ability to think strategically and proactively in order to make recommendations that align strategy with action.
  • Detail-oriented and data-driven.
  • Ability to analyze and compile large sets of data and present effective reports.
  • Experience with financial reports and processing expense reports
  • Strong interpersonal skills with the ability to build trust.
  • Ability to work strategically and collaboratively across the organization
  • Ability to successfully organize, lead, and direct teams of people.
  • Possess an encouraging, can-do attitude.
  • Self-motivated and self-sufficient.
  • Strong time management and multitasking skills.
  • Experienced with coordinating and managing projects.
  • Excellent oral and written communication skills.
What You Will Need:
Education:
  • High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.
    • Note: Required professional licensure/certification can be used in lieu of education OR experience,
      if applicable.
