Purpose and Essential Duties

The Executive Assistant will work directly with C-level executives and will be responsible for performing a number of administrative duties. Specific responsibilities include:

  • Coordinate executive communications, including taking calls, and interfacing with clients.
  • Maintain and achieve corporate licensing in numerous locations.
  • File and retrieve documents and reference materials.
  • Reconcile business credit card statements, enter time-sheets, and submit expense reports.
  • Uphold a strict level of confidentiality.
  • Manage and maintain executives' schedules, appointments and travel arrangements.
  • Arrange and co-ordinate meetings and events.
  • Record, transcribe and distribute minutes of meetings.
  • Monitor, screen, respond to and distribute incoming communications.
  • Receive and interact with incoming visitors.
  • Liaise with internal staff at all levels.
  • Conduct research, collect and analyze data to prepare reports and documents.

This position is Full Time, Exempt, and reports to Executive Vice President.

Required Education, Experience and Qualifications

  • High school diploma or GED equivalent with 3 years of experience reporting to senior management.
  • Strong organizational, project management and problem-solving skills with impeccable multitasking.
  • Ability to maintain confidentiality.
  • Exceptional interpersonal skills.
  • Attention to detail.
  • Advanced Microsoft Office and Outlook skills, with an ability to become familiar with firm specific programs.
  • Experience booking travel.
  • Effective verbal and written communication skills.
  • Detail oriented and willing to tackle various ongoing projects in a fast paced environment.
  • Well versed in the industry and the Company’s competitors.
  • Excellent multitasking skills, with the ability to perform duties outside of scope of work when necessary.

Preferred Education, Experience and Qualifications


  • Bachelor’s degree preferred
  • Legal knowledge and/or experience.

Travel Requirements


  • Very minimal travel is required.

Physical/Work Environment Requirements

  • While performing the duties of this job, the employee is regularly required to stand and or sit at a desk for extended periods of time.
  • Light to moderate lifting is required.
