Overview:
Executives in a growing real estate company are looking for an Executive Assistant to focus on both company and personal assignments. The Execuitve Assistant provides administrative support to Executive Leadership such as calendar management, extensive level of travel coordination, expense administration, meeting preparation and minutes, correspondence and contact management, personal errands and a variety of other assigned projects. Responsibilities will include a broad range of tasks involving time sensitive, confidential and changing priorities. This position is a Hybrid role that will require the individual to work agreed upon days in our corporate office.
Qualifications:
  • Provides administrative support including extensive travel coordination, email and telephone coverage, scheduling and calendar management, copier and binding projects, report preparation, meeting prep and meeting notes, contact management and necessary communications internally and externally.
  • Manage and execute personal assignments to assist executive.
  • Completes correspondence including email, letters, memos, forms, and confidential information.
  • Prepares materials for meetings, attends meetings when required, takes meeting notes and distributes to appropriate team members
  • Assists with special projects as requested.
  • Extensive Travel Management including, but not limited to flights, accommodations and ground transportation including follow up on evenings/weekends.
  • Detail oriented with high level of accuracy.
  • Expense Reporting.
  • Contact Management.
  • Other duties as assigned.
Responsibilities:
  • 1-2 years of experience in office administrative responsibilities and/or executive assistant experience.
  • Art experience highly preferred.
  • Hospitality or Concierge experience highly preferred.
  • Technology savvy with various software platforms.
  • Working knowledge of office equipment.
  • Demonstrated experience in managing multiple tasks in a fast-paced environment with changing priorities.
  • Excellent writing, spelling and grammar skills.
  • Exceptional organizational skills with a high sense of urgency.
  • Demonstrated success in well-developed listening, interpersonal, collaboration and communication skills and working with multiple personalities.
  • Demonstrated success at problem solving and handling complex and confidential issues with a calm demeanor.
