Overview

Improve Your Tomorrow, Inc. (IYT) is a college access and completion organization focused on increasing the number of young men of color to attend and graduate from colleges and universities. IYT’s vision is a nation where young men of color are overrepresented in higher education, underrepresented in the criminal justice system and are leaders in their communities. IYT is an AmeriCorps partner organization serving over 3,500 members across more than 60 sites in Sacramento County, Humboldt County, Yolo County, Central Valley, Bay Area and college students across the nation.


Position Overview

Under the supervision of the Chief Program Officer, the Executive Assistant will provide administrative support in a one-on-one working relationship and serve as the primary liaison for internal and external matters pertaining to the CPO on an as needed basis.


The ideal candidate will be a hard-working professional able to undertake various administrative tasks, both project based and day to day. In addition, this person will be comfortable working with a high degree of attention to detail, discretion and incorporating new and effective ways to achieve better results.


Responsibilities

  • Schedule appointments and maintain various calendars including that of the CPO and varying program initiatives.
  • Schedule and coordinate meetings across multiple sites and regions for the CPO, team members, school partners, and other stakeholders.
  • Prepare communications, such as memos, emails, invoices, reports and other correspondence.
  • Collate and distribute mail.
  • Write and edit documents such as professional letters, policies and procedures, instructional documents and presentations.
  • Create and maintain filing systems, both electronic and physical.
  • Manage, approve and frequently audit financial transactions across sites and regions within College Academy. Perform necessary follow up with team members to ensure receipts and disbursements are within budget and compliant.
  • Communicate on behalf of the CPO of upcoming deadlines, opportunities and reminders to the department.
  • Assist in the recruitment and interviewing process of candidates for key program positions as requested.
  • Spearhead the logistics and planning of special team member events including but not limited to: training and retreats, recognitions and award ceremonies, team outings and special meetings with key stakeholders.
  • Support Program Coordinators with event planning, inventory and distribution of supplies and uniform and data management as needed.
  • Develop, organize and manage data spreadsheets and/or Salesforce dashboards, providing CPO and Program Directors with accurate reports showcasing progress to goals across College Academy sites; provide summaries and/or areas of concern.
  • Provide front desk support on an as needed basis.
  • Perform other duties as assigned

Desired Qualifications

  • Believe in the mission, vision and values of Improve Your Tomorrow, Inc.
  • Bachelor’s Degree from an accredited institution
  • Minimum 1 year required working directly with young men of color, preferably in an academic setting
  • Excellent communication skills (both written and oral) with demonstrated ability to speak and write clearly and persuasively
  • At least 2 years of event planning or project management experience
  • Strong interpersonal skills that inspire and motivate others to action

Schedule

Monday-Friday, 8:30am-5pm, weekend, evenings and organization-wide events are required (at least 1 to 2 times a month)


Compensation

This is a full-time, non-exempt position with a salary of $19.00 to $24.00 per hour DOE. Benefits include 2 weeks accrued vacation and up to 2 weeks off during school breaks per the discretion of CPO.


Work Location

This position is based in Sacramento, Ca. and will require occasional travel to the Central Valley and Bay Area sites based on needs. Reliable transportation is highly advised.
