Shell Recharge Solutions is seeking an Executive Assistant!
Shell Recharge Solutions is looking for an Executive Assistant to join our team. The ideal candidate is a highly organized and self-motivated professional. The role will support our Chief Executive Officer (CEO) and multiple, other targeted executives. The position requires exceptional self-management, communication skills, attention to detail, problem-solving, agility, and professional maturity.
This role will provide administrative and logistical support but may include ad hoc projects as required by the business. A significant part of the role is calendar management to include scheduling of meetings, events, identifying and resolving schedule conflicts and prioritizing commitments.

What you’ll do:
- Support the CEO and multiple, other targeted executives with general administrative tasks, calendar management, travel, expenses, etc.
- Research and make recommendations to the CEO and other leaders as needed on preferred vendors, meeting timelines, projects, and processes to improve business efficiencies, operations and communications
- Respond to internal and external inquiries where possible in a timely, accurate, and confidential manner
- Plan and facilitate global leadership meetings (virtual and onsite), develop agendas, secure presenters and manage other meeting logistics
- Compile minutes/actions from executive meetings
- Handle event planning and functions including happy hours, quarterly events, and other corporate gatherings throughout the year
- Ensure supplies and refreshments are ordered and prepared for meetings and events
- Provide coordination and support for domestic and international travel
- Maintain sensitive and confidential information with a high level of discretion
- Proactively and independently manage heavy scheduling of appointments and meetings of varying complexity and time zones
- Anticipate and proactively address the needs of the CEO and other executives and follow through on various assigned tasks
- Communicate and coordinate across all levels of the internal organization
- Act as a liaison/buffer between our executives and external parties
- Apply sound judgement and take a preemptive role to resolve issues, meeting conflicts and improve communications
- Balance multiple requests and priorities in a fast-paced environment while ensuring deadlines are met
- Provide additional support to the CEO and other executives as needed
What We’re Looking For:
Basic Qualifications
- Bachelor's degree with a minimum of 3 years of relevant professional experience
- 3+ years in an administrative role (servicing C-Suite or VP level executives)
- Exceptional inter-personal, written and verbal communication skills
- Strong attention to detail
- Self-starter and problem solver who can thrive with minimal direction
- Strong proficiency in Outlook and MS Office Suite
- Working knowledge of Microsoft Teams and other messaging and conferencing apps
- Ability to make decisions utilizing sound judgement
- Natural and proactive planner who can help keep others on schedule
- Exceptional organizational and process management skills
- Ability to travel and work from the Downtown Los Angeles headquarters as needed
