Executive Assistant Job at Thrive Aviation
Position Summary
An Executive Assistant for Thrive Aviation should be a tenacious self-starter who can anticipate the needs of the Chief Executive Officer, keep the office organized and meetings running in a timely manner. The person who assumes this role needs to be polished, professional and able to work independently. In addition, the Executive Assistant needs to possess strong communication skills and be willing to interact with all levels of Thrive Team Members while upholding the highest level of confidentiality.
Duties & Responsibilities
- Drafting memos and preparing communications on the President’s behalf
- Maintaining comprehensive and accurate reports, documents, and records
- Taking detailed notes during all meetings
- Organizing meetings for the President with any internal or external parties, including scheduling, reminders, booking rooms, and organizing catering
- Answering incoming phone calls politely and professionally on behalf of the President and accurately taking messages when applicable
- Managing the President’s day-to-day calendar, including prioritizing the most sensitive matters and ensuring a timely start and end for all meetings
- Assisting the President's with personal arrangements, such as family travel arrangements, dinner reservations, and other coordination as requested by the President
- Coordinating travel arrangements (both domestic and international) and creating trip itineraries for all parties
- Using various software, including Microsoft Office and Google Suite/Drive
- All other duties as assigned.

Experience & Qualifications
The most successful candidate in the position will meet most, if not all, of the following criteria.
- 2-3 years of relative office experience
- Experience using Microsoft Office and Google Suite
- The ability to communicate effectively verbally and in writing
- The ability to multi-task and manage projects efficiently and effectively
- High degree of confidentiality and the ability to treat all matters with the appropriate discretion
- Ability to thrive in a fast-paced environment and willing to take on new challenges as the company grows
