Executive Assistant - Cox Business Job at Cox Communications
We currently have an exciting opportunity for an Executive Assistant to provide support to the Regional Sales Directors. This person will support Regional Directors and their leadership staff who are responsible for the Central and East Regions of Cox Business with multi-state responsibility including Kansas, Arkansas, Nebraska, Idaho, Oklahoma, Rhode Island, Virginia, Florida, and Louisiana.
This person will provide seamless execution of tasks, including team management and assistance with correspondence, extensive calendar coordination, meeting preparation, recordkeeping, and management of special projects, as needed. The role requires sound judgment, decision-making, and confidentiality in handling sensitive information.
This position can be based in Wichita, KS or West Warwick, RI.

Primary Responsibilities and Essential Functions:
- Manages complex, changing calendars: schedule and prioritize meetings, appointments, rooms, equipment, catering, and other resources.
- Arranges travel (air, hotel, transportation) and coordinates agenda with Regional staff when required. Coordinates Regional Leadership Staff Meetings and all department meetings: efficient in securing the venue/meeting room, audiovisual needs, transportation, and catering, as appropriate, and plans any off-site activities, provides administrative support on-site during meetings, including meeting agenda, minutes, etc.
- Prepares presentations and other documents using MS Office with an emphasis on PowerPoint.
- Screens all telephone calls, takes messages, responds to questions, and directs callers to appropriate parties.
- Maintains confidential information and secure access to sensitive personnel and company information.
- Maintains, updates, or creates databases and/or database information.
- Codes, compiles, and files correspondences, records, documents, and reports according to an established system.
- Takes and prepares notes of meetings, conferences, and similar proceedings, attend conferences to provide administrative support.
- Sorts and distributes mail and packages to appropriate team members and departments.
- Prepare courier, Fed Ex, and USPS packages for pick-up.
- Greets and assists visitors and arranges for escorts, as necessary.
- Prepares, checks, and processes expense reports and invoices.
- Prepare, organize and maintain documents and files of a complex or confidential nature, and track budget expenditures.
- Types letters, memoranda, and reports from drafts and proofreads and reviews documents for grammatical and numerical errors.
- Interacts daily with senior management executives, leadership team, and their assistants.
- Coordinate requests through various corporate depts. to include: facilities, security, human resources, and legal as needed.
Minimum
- High School Diploma/GED and 5 years' experience in a related field. The right candidate could also have a different combination, such as any level degree/certification beyond a HS diploma/GED in a related discipline and 3 years' experience; or 7 years' experience in a related field
- Advanced knowledge of MS Office software (Word, PowerPoint, Excel, and Outlook) and Oracle required
- Ability to prioritize multiple work assignments by thinking and planning ahead
- Excellent planning, organization, meeting coordination, and project management skills
- Must be detail-oriented, able to develop and maintain highly efficient work environments, and able to effectively prioritize with proven time management skill
- Excellent interpersonal skills with the ability to relate professionally with executive-level management and their admins
- Demonstrated ability and experience to act proactively and to effectively anticipate and respond to the needs of the executive in a fast-paced environment
- Strong written and verbal communication skills, with the ability to use judgment to field inquiries professionally and efficiently
- Must have experience managing and maintaining confidential, business, and personnel sensitive information
- Strong calendar management skills
- Self-sufficient, driven individual capable of working with little direction to accomplish the tasks and be able to recommend improvements but at the same time be able to follow directions from upper management
- Motivated by a strong work ethic and positive attitude to ensure an effortless team environment
Preferred
- Experience in the technology/telecommunications industry would be beneficial
