Job Summary:
Looking for an experienced or highly motivated individual to work remotely as an Executive /Personal Assistant. The candidate will become the right hand to the Principal and Acquisitions Director of a busy high-profile family office. This office has a focus in the real estate development and investing sector in addition to other businesses in the portfolio.

The right person for the job must be capable of wearing many hats and provide support on professional and personal level. This person is Excel/Word/Dropbox and tech proficient. Keeping schedules, calendars, light travel arrangements and doing monthly reporting are required; being organized and detailed is a must. Discretion and a “can do” attitude of this competent multi-tasker would be important. The individual for this position must be self-motivated, ask questions when unsure, be able to work under pressure, be resourceful and think outside of the box. Responsibilities:
  • Manage and maintain schedules.
  • Arrange conference calls and meetings.
  • Answer incoming office calls.
  • Keep, make and organize business files.
  • Create the weekly agenda.
  • Confirm appointments and locations.
  • Correspond and communicate professionally and effectively (telephone speaking and email/written communication skills must be exceptional)
  • Will interface with:
  • Principal
  • Bankers
  • Management
  • Business management
  • Travel agent
  • Lawyers
  • Vendors
  • Doctors, vets, etc.
  • Coordinate deliveries and shipping.
  • Occasionally run personal errands.
  • Book travel and lodging (including international travel).
  • Maintain personal and business banking accounts.
  • Transfer sums of money between accounts as requested.
  • Pay bills.
Qualifications:
  • Intelligent and well spoken.
  • Previous experience supporting a busy executive.
  • Demonstrate a high degree of integrity, loyalty, and security measures regarding all confidential matters.
  • Must be extremely detail oriented.
  • Highly organized.
  • Excellent written and oral communication skills.
  • Proficient in Apple/Mac, PC (MS Office programs: Word, Excel, PowerPoint, etc.), calendaring, video, and conference call systems.
  • Quickly pickup and learn new technology, systems, and computer programs.
  • Strong analytical and computer skills.
  • Ability to work under pressure.
  • Ability to work independently and keep busy with little oversight.
  • Possess the ability to handle matters with discretion and maintain confidentiality.
  • Have a professional demeanor.
  • Have a reliable vehicle with a valid driver’s license and a good driving record.
Candidate must be flexible with their schedule and be comfortable handling last minute requests. After training and initial settling into the position, remote work and flexible work hours are acceptable.

Status: Full-Time.

Compensation: Commensurate with skills and experience. Comprehensive benefits and generous PTO.

Experience:
  • Management: 5 years (preferred).
  • Personal Assistant: 5 years (preferred).
Education:
  • Bachelor's Degree (preferred).
