PRINCIPAL ACCOUNTABILITIES
Reporting to the Director of Facilities & Fleet Management, the Facilities Administration Coordinator is responsible for the administration of, but not limited to, the Computerized Maintenance Management Software (CMMS) system, Asset Management system(s), Vehicle Safety & Loss Control Program (driver status, meeting agenda & minutes), Donor Center & Facilities Committee agendas & minutes, Safety Committee inspection reports, QA & FDA mandated reports. Works internally supporting Facilities and Fleet management with other department heads, to resolve needs/requests and scheduling issues.
Regular full-time attendance is required during office hours. Some travel to Donor Centers and other locations may be required.
EDUCATION AND EXPERIENCE
- · Associates Degree and work experience in facilities management administration
- · Minimum of 8 years’ extensive experience in administrative roles in a related line of business (e.g., Facilities, Property Management, Construction, Manufacturing) can be considered in-lieu-of college degree
SKILLS AND KNOWLEDGE
- · Flexibility and the ability to adapt positively to change
- · Able to maintain confidentiality, as required (office relocations, building space usage, project planning, driver status, etc.)
- · Experience with regulatory authorities and compliance measures
- · Make decisions in a timely manner, often with limited information and under tight deadlines and pressure
- · Strong communication and negotiation, coupled with organizational skills. The ability to interact professionally with multiple levels of the organization including executive level
- · Excellent written and oral communication skills, including advanced level of proofreading, editing and grammar skills
- Ability to multi-task and prioritize tasks, with frequent interruptions, at times without direction, and meet
